Job Description

The Admissions Coordinator is primarily responsible for responding to prospective clients and referral partners, conducting pre-admission screenings, coordinating insurance verification, and guiding individuals and families through the admissions process. This position serves as a compassionate and responsive first point of contact for people seeking treatment. The Admissions Coordinator is expected to respond promptly, communicate clearly, maintain consistent follow-up, and help qualified prospective clients move successfully from their initial inquiry to admission. This position will provide secondary administrative and operational support to the facility. Approximately 75% of the role is expected to focus on admissions and 25% on operational support, although priorities may change based on call volume and facility needs. Essential Responsibilities 1. Admissions and Intake — Primary Responsibility Answer incoming admissions calls, website inquiries, referral communications, and other requests for information promptly and professionally. Provide compassionate, knowledgeable support to prospective clients and their families during what may be a difficult or emotional time. Conduct pre-admission screenings and collect relevant demographic, insurance, substance use, mental health, medical, and treatment-history information. Explain Changes Treatment Center's programs, services, admission requirements, and next steps clearly and accurately. Determine whether a prospective client appears appropriate for the program based on established admission criteria, while referring clinical eligibility decisions to qualified clinical personnel when necessary. Maintain timely and persistent follow-up with prospective clients, families, referral partners, and other approved contacts. Verify insurance eligibility and benefits and gather required financial information before admission. Coordinate with clinical, medical, psychiatric, utilization review, and leadership personnel to facilitate admission decisions and smooth care handoffs. Coordinate transfers and transitions between detoxification, residential treatment, PHP, IOP, outpatient care, and other community providers. Maintain accurate, current, and detailed documentation of every inquiry, contact, follow-up activity, referral source, and admission outcome in KIPU and other designated tracking systems. Protect client confidentiality and comply with
HIPAA, 42 CFR
Part 2, and all applicable privacy requirements. Develop and maintain positive working relationships with referral partners, treatment providers, hospitals, detoxification programs, residential facilities, and community resources. Assist with the physical intake and onboarding process when a new client arrives at the facility. 2. Operations Support — Secondary Responsibility To break up the day, the Admissions Coordinator may assist with: Assisting clients with approved transportation needs, including admissions, appointments, and transfers.

General administrative recordkeeping and facility documentation. Coordination of client schedules, psychiatric appointments, clinical appointments, and outside services. Communication between the clinical program, housing providers, referral partners, and approved outside providers. Supporting special events, client activities, and other facility projects. Maintaining accurate vehicle mileage and usage logs when operating a facility vehicle. Reporting vehicle maintenance or safety concerns promptly. Performing other reasonable operational and administrative duties assigned by leadership. Operational duties must not interfere with responding to admissions inquiries, completing required follow-up, or supporting active admissions. Qualifications Required High school diploma or equivalent. At least one year of experience in admissions, intake, customer service, behavioral healthcare, healthcare administration, or a closely related position. Strong verbal and written communication skills. Ability to communicate calmly and compassionately with individuals and families experiencing distress. Strong organizational, follow-up, documentation, and time-management skills. Ability to manage multiple inquiries and priorities in a fast-paced environment. Ability to maintain confidentiality and comply with HIPAA and 42 CFR Part 2. Proficiency with Google Workspace, including Gmail, Docs, Sheets, Calendar, and Drive. Valid driver's license and driving record that meets the facility's automobile insurance requirements. Preferred One to two years of admissions or intake experience in a substance use or mental health treatment setting. Experience using KIPU CRM and/or
KIPU EHR.
Experience with insurance verification and behavioral health benefits. Familiarity with behavioral health terminology and the continuum of care, including detoxification, residential treatment, PHP, IOP, and outpatient services. Associate or bachelor's degree in healthcare administration, psychology, behavioral health, business, or a related field. Experience with crisis communication, de-escalation, and motivational interviewing techniques. Some flexibility may be required to respond to admissions inquiries or coordinate time-sensitive admissions outside normal business hours. Performance Priorities Performance in this position will be evaluated primarily based on: Responsiveness to admissions calls and inquiries. Quality and accuracy of pre-admission screenings. Consistency and timeliness of follow-up. Accuracy and completeness of KIPU documentation. Successful coordination of appropriate admissions. Professional communication with prospective clients, families, and referral partners. Compliance with privacy, safety, and facility procedures. Dependable completion of assigned operational support responsibilities.
Pay:
$22.00 - $25.00 per hour Expected hours: 8.0 per week
