This position plays an important role in providing an exceptional patient experience while supporting the efficient operation of our practice. The ideal candidate will have strong communication, customer service, scheduling, and insurance verification skills and be comfortable working in a fast-paced medical office environment. Front Office Duties and Responsibilities Answer a multi-line phone system, take messages, and direct calls and information to the appropriate recipient. Greet and check in patients upon arrival and ensure all required paperwork is completed. Check out patients, collect copayments and other applicable payments, and schedule ordered tests and procedures. Schedule patient appointments, follow-up visits, procedures, and consultations with multiple providers. Maintain an efficient patient flow and a clean, organized, and welcoming waiting area. Verify patient insurance eligibility and benefits. Work with multiple insurance companies to obtain required authorizations and submit appropriate documentation and forms. Maintain accurate patient accounts by obtaining, recording, and updating personal, demographic, and insurance information. Accurately document and update patient visits, appointments, procedures, and related information in the EMR/EHR system. Scan and file documents accurately into patient charts. Operate office equipment, including computers, fax machines, copiers, and telephone systems. Assist with accounts receivable by making necessary calls to patients, insurance companies, and billing representatives. Receive and process patient payments for services rendered. Request and send patient medical records as appropriate while maintaining patient confidentiality. Communicate prescription refill requests to the appropriate provider and pharmacy as directed. Maintain HIPAA compliance and protect patient privacy at all times. Provide exceptional customer service and ensure patients feel welcomed, valued, and supported. Assist providers and office staff with administrative and clerical needs as necessary. Educate patients about and promote the services offered by the practice when appropriate. May perform other clerical duties and tasks as assigned to improve provider productivity, patient experience, and overall clinic workflow. Knowledge and Skills Requirements Minimum of 2+ years of experience in a medical front office, including patient scheduling, insurance verification, and insurance-related processes. Friendly, professional, and personable with excellent interpersonal skills. Excellent customer service and communication skills. Strong telephone communication skills with a warm and professional demeanor. Comfortable working with patients and addressing patient questions and concerns. Highly organized with strong attention to detail and problem-solving skills. Tech-savvy and comfortable learning and using new software and computer programs. Experience with EMR/EHR systems preferred. Comfortable using Google Drive and other computer programs. Working knowledge of the healthcare and medical office environment. Basic understanding of medical terminology. Experience with appointment scheduling and coordinating care with multiple providers. Experience verifying insurance eligibility and benefits. Knowledge of insurance authorization and prior authorization processes preferred. A bachelor's degree and/or formal education, certification, or training in medical billing, healthcare administration, or a related field is a plus. Ability to accurately maintain patient demographic, insurance, and financial information. Comfortable discussing services with patients and promoting practice services when appropriate. Comfortable asking for business and assisting patients in understanding available services and options. Ability to work independently while also collaborating effectively with physicians and other team members. Professional appearance and demeanor when interacting with patients, referring physicians, and other healthcare professionals. Strong multitasking skills and the ability to work efficiently in a fast-paced environment.
