Onsite Role Job Summary:
The Talent Acquisition (TA) Operations Coordinator plays a critical role in supporting and optimizing recruiting operations. This role is ideal for someone who enjoys building structure, improving processes, and enabling a high-performing Talent Acquisition team.
Duties and Responsibilities:
Support core recruiting operations, including job requisition creation/posting, offer management (audit, generation, delivery), and pre-hire audits to ensure onboarding readiness. Drive process efficiency by identifying improvements and creating/maintaining SOPs and documentation. Manage TA operations and data analytics projects from scoping through delivery, including timelines, stakeholder coordination, progress tracking, and implementation of recommendations. Maintain accurate recruiting data in Greenhouse and related systems through routine audits, data reconciliation, issue resolution, and documentation of data definitions and processes. Develop and maintain recurring reports, dashboards, and analyses of recruiting activity and outcomes; identify trends, data gaps, and opportunities to improve processes. Partner with TA leaders and cross-functional stakeholders to define metrics, translate business questions into analyses, and present findings and recommendations in a clear, actionable format. Assist with training and enablement for hiring managers and interview teams. Partner closely with Talent Acquisition Business Partners, People Operations, and cross-functional teams to deliver a seamless and efficient hiring experience.
Requirements and Qualifications:
2-3 years of experience in recruiting coordination, HR operations, or a related field. Familiarity with Applicant Tracking Systems (Greenhouse preferred) and recruiting tools. Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment. High attention to detail, particularly in data entry, auditing, and process execution. Strong communication and interpersonal skills, with the ability to collaborate effectively across teams. Demonstrated ability to follow and improve processes, with an interest in operational excellence. Experience supporting projects, coordinating tasks, or contributing to process improvements. Demonstrated experience analyzing data, defining and tracking metrics, building reports or dashboards, and explaining findings to stakeholders to support decisions and process improvements. Strong spreadsheet skills, including formulas, pivot tables, and data analysis, and proficiency with Microsoft Office; experience using reporting or visualization tools.
Preferred Qualifications:
Experience supporting offer processes, pre-hire audits, or onboarding coordination. Experience with recruiting analytics, funnel and process metrics, and Greenhouse reporting or other applicant tracking system data. Experience contributing to training materials or facilitating team enablement sessions. Interest in Talent Acquisition operations within a biotech or life sciences environment.
