About the Role Our busy ophthalmology practice is seeking an experienced, personable, and highly organized Front Desk Receptionist / Surgery Scheduler to serve as the first point of contact for our patients and to coordinate surgical scheduling for our physicians. This dual role is central to the patient experience and to the smooth operation of the clinic. The ideal candidate combines warm, professional patient service with meticulous attention to detail in scheduling, insurance verification, and surgical coordination. Key Responsibilities Front Desk / Reception Greet and check in patients in a friendly, professional manner; verify demographics and insurance information at each visit Answer multi-line phones, triage calls appropriately, schedule and confirm clinic appointments, and manage the daily appointment flow Collect copays, deductibles, and outstanding balances; reconcile daily payments Obtain and verify insurance eligibility, referrals, and authorizations for office visits, diagnostic testing, and in-office procedures Maintain accurate patient records in the electronic health record (EHR) / practice management system Manage incoming faxes, records requests, and correspondence; scan documents into patient charts Keep the reception area organized and ensure a positive, calm patient experience, including for elderly and visually impaired patients Surgery Scheduling Coordinate scheduling of cataract and other ophthalmic surgeries and laser procedures with the surgeon, ambulatory surgery center (ASC) and/or hospital Obtain prior authorizations and pre-certifications from insurance carriers; verify surgical benefits and communicate patient financial responsibility, including premium IOL and refractive upgrade options where applicable Schedule pre-operative appointments, biometry/testing, medical clearances, and post-operative visits in accordance with surgeon protocols and global period requirements Prepare and review surgical consent forms, pre-op instructions, and medication instructions with patients; answer patient questions and reduce day-of-surgery cancellations through proactive communication Track and manage the surgical pipeline from booking through post-op, following up on pending clearances and authorizations Communicate accurately and promptly with the surgical facility, anesthesia, and clinical staff regarding case details, lens/implant selections, and schedule changes Minimum Qualifications Minimum three (3) years of experience in a medical front office and/or surgical scheduling role; ophthalmology or other surgical specialty experience strongly preferred High school diploma or equivalent required; additional healthcare administration training a plus; College degree preferred Working knowledge of medical insurance (Medicare, HMO/PPO plans), eligibility verification, referrals, and prior authorization processes Proficiency with EHR and practice management systems (e.g., Nextech, ModMed/EMA, Epic, or similar) and Microsoft Office/Google Workspace Understanding of HIPAA requirements and commitment to patient confidentiality Skills & Attributes Excellent verbal and written communication skills; comfortable explaining scheduling, financial, and pre-operative information clearly to patients Exceptional attention to detail and accuracy — surgical scheduling errors are not an option Strong organizational and multitasking skills in a fast-paced, high-volume clinic environment Calm, compassionate, and patient-centered demeanor, particularly with elderly patients Familiarity with ophthalmic terminology, common procedures e.g., cataract surgery, YAG capsulotomy, intravitreal injections and testing preferred Dependable, punctual, and able to work both independently and as part of a close-knit clinical team Bilingual skills a plus Compensation & Benefits $30.00 - $36.00 per hour, based on experience health/dental insurance, 401(k) with matching component, paid time off, paid holidays, Commute assisstance How to Apply Please submit your resume and a brief cover letter describing your relevant front desk and surgical scheduling experience .
