Job Description
Position Summary Holcombe Mixers is seeking a highly organized, proactive, and tech-savvy Executive & Operations Coordinator to support the Director of Operations and assist departmental leadership with administrative coordination, communication management, and operational organization. This role is designed to improve leadership efficiency, operational follow-through, and cross-department coordination. The ideal candidate is detail-oriented, adaptable, and comfortable utilizing modern software tools, including AI-assisted productivity and workflow platforms, to streamline recurring administrative tasks and improve organizational effectiveness. This is not a traditional receptionist or primary phone-support role. The position is intended to function as a high-level administrative and operational support resource focused on organization, coordination, process support, and workflow efficiency. Primary Responsibilities Executive Support & Operational Coordination Manage calendars, scheduling, and meeting coordination for the Director of Operations and departmental leadership Coordinate internal follow-ups, task tracking, and accountability items across departments Prepare meeting agendas, document action items, and distribute follow-up communications Assist in prioritizing incoming requests, communications, and administrative workflows Maintain organized records, documentation, and operational files Support leadership with travel arrangements, event coordination, and administrative logistics as needed Cross-Department Administrative Support Provide administrative coordination support to Operations, Engineering, and Inside Sales/Technical Support leadership Assist with document preparation, formatting, reporting, and data organization Coordinate internal communications and ensure timely follow-through on departmental requests Help organize project timelines, recurring meetings, and status updates Assist in maintaining SOPs, training documentation, and internal process records Process Improvement & Digital Workflow Support Assist in identifying opportunities to improve administrative efficiency and workflow organization Utilize modern productivity tools, automation platforms, and AI-assisted software to streamline recurring administrative tasks Help maintain organized digital systems, templates, and process documentation Support leadership in improving communication workflows, reporting consistency, and task tracking processes Research and recommend tools or process improvements that enhance operational effectiveness Communication & Office Coordination Serve as a professional point of coordination for internal administrative communications Screen and route non-technical inquiries appropriately Assist with preparing presentations, reports, and internal communications Coordinate office logistics and support company meetings or events as needed Qualifications Required Qualifications Strong organizational and time-management skills Excellent written and verbal communication abilities High attention to detail and ability to manage multiple priorities Strong problem-solving and follow-through skills Professional discretion and ability to handle confidential information Proficiency with Microsoft Office and general business software platforms Preferred Qualifications Experience supporting leadership or multi-department operations Comfortable learning and utilizing new digital tools and software platforms Familiarity with ERP, CRM, project management, or workflow systems Interest in process improvement and operational efficiency Familiarity with AI-assisted productivity tools or automation platforms is a plus Self-motivated with the ability to work independently in a fast-paced environment Position Notes This role is intended to support leadership efficiency, operational coordination, and administrative organization. It is not designed as a primary customer service, inbound call handling, or dedicated technical support position. The position is expected to evolve alongside the company's operational systems, digital workflows, and process improvement initiatives.
Pay:
