This position combines two critical functions: maintaining efficient client and employee schedules within our clinics and recruiting qualified candidates to support organizational growth. The ideal candidate is an excellent communicator who can manage multiple priorities, respond quickly to staffing changes, maintain accurate schedules, and actively recruit candidates for clinical and administrative positions. Primary Responsibilities Clinic Scheduling Develop and maintain daily and weekly clinic schedules for clients and staff. Ensure appropriate staffing coverage based on client authorization, availability, and clinical needs. Coordinate schedules for Behavior Technicians, Registered Behavior Technicians (RBTs), BCBAs, and other clinical personnel. Identify scheduling gaps and work proactively to obtain coverage. Respond to employee call-outs, client cancellations, schedule changes, and staffing emergencies. Communicate schedule changes promptly to employees and clinical leadership. Track employee availability and ensure schedules accurately reflect approved working hours. Coordinate with Clinical Directors regarding staffing needs, client schedules, and program changes. Assist with scheduling newly hired employees as they complete orientation and onboarding. Maintain accurate scheduling information within the organization's electronic scheduling systems. Monitor unfilled hours and identify opportunities to maximize client service delivery. Provide regular updates to leadership regarding staffing shortages, scheduling concerns, and available employee hours. Employment Recruiting Recruit qualified candidates for clinical, behavioral health, and administrative positions. Post and maintain employment opportunities across approved recruiting platforms. Review applications and resumes daily. Conduct initial candidate screenings and phone interviews. Schedule candidates for interviews with appropriate hiring managers. Maintain consistent communication with candidates throughout the recruitment process. Follow up with candidates promptly following interviews. Coordinate with Human Resources regarding employment offers and onboarding. Maintain an active pipeline of qualified candidates for high-demand positions. Conduct outreach to prospective candidates through recruiting platforms, schools, colleges, professional networks, and community resources. Participate in job fairs and recruiting events as needed. Track recruiting activity, interviews, offers, acceptances, and outstanding vacancies. Work closely with leadership to identify current and anticipated staffing needs. Scheduling & Recruiting Coordination A major responsibility of this position is connecting recruitment efforts directly to operational staffing needs. The Clinic Scheduler & Employment Recruiter will be expected to: Identify staffing shortages and prioritize recruitment accordingly. Understand the staffing needs of each clinic. Recruit employees based on actual scheduling needs and available client hours. Coordinate new-hire availability with clinic schedules. Work with Clinical Directors to appropriately place new employees. Monitor whether newly hired employees are receiving appropriate scheduled hours. Maintain communication between Human Resources, Clinical Leadership, and Operations regarding staffing needs. Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous experience in scheduling, recruiting, human resources, healthcare administration, ABA,behavioral health, or a related environment preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines. Strong attention to detail and accuracy. Ability to communicate professionally with employees, applicants, families, and leadership. Comfortable making frequent phone calls and communicating with prospective employees. Ability to work independently while collaborating with multiple departments. Proficiency with Microsoft Office, Google Workspace, scheduling software, applicant tracking systems, and online recruiting platforms preferred. Reduce the amount of time positions remain vacant. Maintain timely communication with applicants and employees. Successfully transition newly hired employees into available clinic schedules. Maintain accurate recruiting and scheduling records. Provide leadership with timely and accurate staffing information.
