Job Description
Job Summary Serenity Care at Home is seeking a highly organized and dependable Receptionist / Administrative Assistant with strong scheduling and recruiting abilities. This position will focus heavily on coordinating caregiver schedules, filling open shifts, supporting on-call scheduling needs, recruiting caregivers, and assisting applicants throughout the hiring process. The ideal candidate must be comfortable making frequent phone calls, handling last-minute schedule changes, communicating professionally, and following through until shifts and staffing needs are resolved. Primary Responsibilities Coordinate and maintain caregiver schedules. Match qualified caregivers with clients based on availability, location, experience, and care needs. Confirm scheduled shifts with caregivers and clients. Quickly respond to call-outs, schedule changes, and open shifts. Contact available caregivers and help secure coverage. Assist with on-call scheduling and urgent staffing needs. Maintain accurate scheduling notes, availability records, and communication logs. Recruit qualified PCA, CNA, HHA, homemaker, and companion applicants. Contact job applicants, conduct initial telephone screenings, and schedule interviews. Assist applicants with applications and required hiring documents. Follow up consistently with applicants throughout the hiring and onboarding process. Post and update job openings on Indeed, social media, and other recruiting platforms. Answer, route, and document incoming telephone calls professionally. Communicate respectfully with clients, families, caregivers, and applicants. Complete filing, copying, scanning, mailing, and general administrative duties. Protect confidential client, caregiver, applicant, and company information. Assist the office manager and director with other reasonable administrative duties. Required Qualifications Previous scheduling, staffing, recruiting, dispatching, home care, or healthcare office experience is strongly preferred. Strong ability to manage schedules and fill open shifts. Comfortable handling call-outs and urgent staffing situations. Confident making frequent recruiting and staffing phone calls. Excellent communication, customer-service, and problem-solving skills. Strong attention to detail and ability to keep accurate records. Dependable, punctual, organized, and able to follow through. Able to multitask and remain calm when priorities change. Comfortable using email, Microsoft Office, Google Workspace, online job platforms, printers, scanners, and scheduling systems. Able to maintain confidentiality and communicate professionally. Bilingual English/Spanish is preferred but not required. Schedule and Compensation $18.00-$20.00 per hour, based on relevant experience. Approximately 35 hours per week. Primarily a Monday-Friday daytime position. Must be able to participate in assigned on-call scheduling responsibilities. Specific working hours and on-call expectations will be discussed during the interview. This is an hourly, non-exempt position. All hours worked must be accurately reported and will be paid according to applicable law. Training and Development The first week will include structured training on scheduling, recruiting, office procedures, communication standards, confidentiality, and company systems. After the initial training period, the employee will receive one-on-one shadowing and guided practice. A performance evaluation and reflection meeting will generally be conducted at approximately 90 days to discuss progress, reliability, scheduling performance, recruiting results, strengths, areas for improvement, and professional goals. This person understands that successful scheduling requires urgency, persistence, organization, and professional communication. They should be comfortable reaching out to multiple caregivers, resolving coverage issues, recruiting new applicants, and keeping the office informed.
