This role will support gift processing, donor acknowledgments, database accuracy, reporting, donor lists, event and sponsorship tracking, prospect research, and development project coordination. The Development Operations Associate helps ensure donor engagement, annual giving, events, and grants run smoothly. The ideal candidate is highly organized, accurate, responsive, discreet with donor information, and comfortable improving systems so staff can spend more time building relationships and less time chasing details. Key Responsibilities:
Gift Processing, Acknowledgments, and Donor Records
- Process gifts, pledges, sponsorships, event payments, and donor information accurately and promptly.
- Prepare and send timely donor acknowledgment letters, receipts, and related follow-up materials.
- Maintain accurate donor, company, foundation, campaign, and event records in MyClubHub/Salesforce.
- Track donor restrictions, pledge schedules, sponsorship commitments, and fulfillment needs.
- Help ensure donor records are complete, consistent, and up to date. Database, Reporting, and List Management
- Create and maintain donor lists, mailing lists, event lists, sponsor lists, and appeal segments.
- Support reporting for annual giving, events, donor engagement, sponsorships, and stewardship activity.
- Help build and maintain dashboards or recurring reports that support fundraising accountability.
- Identify and clean duplicate, incomplete, outdated, or inconsistent records.
- Support segmentation and data pulls for appeals, newsletters, stewardship updates, and targeted outreach. Donor Cultivation and Follow-Up Support
- Support scheduling and logistics for donor meetings, tours, cultivation gatherings, and stewardship activities.
- Prepare donor briefing materials, meeting packets, and follow-up templates as directed.
- Track next steps after donor meetings, board introductions, appeals, and events.
- Coordinate internal reminders so donor follow-up does not fall through the cracks.
- Help ensure annual giving and event activity feeds the major gifts pipeline. Event and Sponsorship Operations Support
- Support the Development Manager with operational systems for BGCS's major annual events, including the gala, Corporate 5K, golf outing, and Champions of Youth.
- Help maintain sponsorship trackers, guest lists, registration reports, seating/table lists, sponsor recognition lists, and fulfillment checklists.
- Help prepare event communications, invitations, nametags, signage lists, sponsor materials, and post-event thank-you lists.
- Support event-day logistics as needed, including registration, check-in, guest support, and post-event reconciliation.
- Track sponsor benefits and help ensure commitments are fulfilled accurately and on time. Annual Giving and Donor Communications Support
- Pull and review donor lists for annual appeals, segmented outreach, newsletters, stewardship updates, and targeted campaigns.
- Coordinate mailing lists, merge fields, print files, and email lists in collaboration with the Development Manager and communications support.
- Help track appeal performance, donor responses, upgrades, lapsed donors, and follow-up needs.
- Maintain organized records of appeal versions, mailing segments, donor responses, and campaign results. Prospect Research and Briefing Support
- Conduct prospect research on individuals, companies, foundations, and community partners.
- Prepare concise donor, sponsor, or prospect briefing notes for staff and board use.
- Help identify donor connections, giving history, event participation, and possible next steps.
- Support the creation of board call sheets, prospect lists, and stewardship lists. Grants and Administrative Support
- Support the Director of Grants with grant tracking, report deadlines, attachments, and documentation as needed.
- Maintain organized digital files in shared development folders.
- Support development calendars, project timelines, meeting notes, and task tracking.
- Assist with other development operations projects as assigned.
What This Role Owns The Development Operations Associate owns the systems and follow-through that make donor, event, and grant efforts successful, including accurate data, clean lists, timely acknowledgments, reliable trackers, donor follow-up support, event and sponsorship operations support, recurring reports, and organized development workflows. Qualifications
- At least 2 years of experience in nonprofit development, advancement services, fundraising operations, donor database management, events administration, or related work.
- Strong attention to detail and commitment to accuracy.
- Experience with donor databases, CRM systems, or fundraising platforms; Salesforce, MyClubHub, Raiser's Edge, or similar.
- Comfort working with spreadsheets, reports, lists, and data cleanup.
- Strong organizational and project-management skills.
- Clear written and verbal communication skills.
- Ability to handle confidential donor information with discretion.
- Ability to manage multiple deadlines and support several projects at once.
- Willingness to work occasional evenings or weekends for major BGCS events.
- Commitment to BGCS's mission and to expanding opportunity for Stamford youth. Preferred Qualifications
- Experience with event registration, sponsorship tracking, donor acknowledgments, or annual fund support.
- Experience with Constant Contact, Canva, GiveLively, RunSignUp, Wix, or similar tools.
- Familiarity with donor segmentation, fundraising reports, or prospect research.
- Comfort supporting senior staff, board members, volunteers, and vendors.
- Interest in building systems that make fundraising more disciplined, consistent, and donor-centered. - Reduce administrative burden on the Director of Development, Development Manager, CEO, and Director of Grants.
- Help BGCS operate from shared systems rather than institutional memory.
