This role is at the intersection of operations, contracts, logistics, compliance, and event coordination . You will work closely with our Operations, Event, Marketing, and Accounting teams to ensure that event information, contracts, vendors, materials, and deadlines are accurately managed and up to date. The ideal candidate is someone who enjoys organization and processes, catches details others may miss, communicates well, and can stay one step ahead in a fast-moving event environment. Key ResponsibilitiesOperations & Event Management Assist the Operations team with creating applications for new shows, including updating event information and pricing. Maintain the master show schedule, adding new dates and updating records as changes occur. Research and obtain venue information, contacts, and event details for new and existing shows. Perform accurate data entry and maintain up-to-date records across internal systems and our CRM. Support the Operations and Event teams with day-to-day event coordination and administrative needs. Contract Management Assist with the full lifecycle of venue and sales contracts, from entry and processing through updates and closeout. Enter contract dates, pricing, venue information, and other details accurately into Sertifi, PandaDoc, and Pipedrive CRM Event & Show Preparation Assist with creating and updating event floor plans in coordination with Show Managers. Assist with vendor communications Insurance, Financial & Regulatory Compliance Work with the company's insurance agent to obtain Certificates of Insurance (COIs) required by venues. Assist the Event Director with confirming event deposits with the Accounting team. Assist with confirming required event licenses and permits. Source pipe and drape, power, and other event rental suppliers. Monitor incoming online rental orders and ensure relevant information is entered into Pipedrive and/or the appropriate show floor plan. Work closely with Marketing and Event Directors on show preparation and execution.
