We specialize in machining, welding, hydraulic cylinder repair, and heavy equipment services. We support industries including construction, marine, material handling, and manufacturing. We focus on efficiency, organization, and reducing downtime for our customers. We are seeking a dynamic highly organized Administrative Assistant/ Office Coordinator to support daily operations in a fast-paced machine shop environment. This role plays a key part in keeping jobs organized, supporting accounting tasks, and ensuring smooth communication between customers and shop departments. Duties Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records Provide exceptional customer service by addressing inquiries promptly via phone or email, supporting client needs effectively Assist office manager with accounts payable and accounts receivable Maintain accurate job tracking from intake through completion Assist with invoicing and QuickBooks entries Communicate with customers regarding job status and updates Coordinate with shop managers across departments Keep organized records of jobs, invoices, and documents Skills Bilingual (English/Spanish)
REQUIRED
Experience with office management, clerical work, or administrative support in a fast-paced environment Knowledge of phone etiquette, and customer support best practices Exceptional attention to detail for proofreading documents and managing records accurately Strong organizational skills and attention to detail Basic computer skills Experience with QuickBooks or similar accounting software Administrative or office experience is preferred; however, we welcome candidates who are motivated, organized, and willing to learn
Pay:
$18.00 - $22.00 per hour
