This position is ideal for someone who enjoys helping patients, thrives in a fast-paced medical office, and can confidently manage a high volume of incoming calls while providing exceptional customer service. As a member of our Office Scheduling team, you will be responsible for answering patient phone calls, scheduling appointments, assisting with patient inquiries, and ensuring every patient interaction is handled professionally, accurately, and compassionately. The ideal candidate is an excellent communicator who can multitask efficiently while maintaining a positive attitude and attention to detail. Essential Responsibilities Answer a high volume of incoming patient calls in a courteous, professional, and timely manner Schedule new and established patient appointments accurately using established scheduling protocols Verify and update patient demographic and insurance information Register new patients and maintain accurate electronic medical records Route calls and messages to providers and appropriate departments Provide patients with appointment instructions, preparation information, and general office policies Assist patients with referrals, recalls, prescription requests, and other routine inquiries as appropriate Document all patient interactions thoroughly and accurately in the electronic health record Maintain patient confidentiality and comply with HIPAA regulations Meet established call center performance expectations, including quality, productivity, attendance, and customer service standards Work collaboratively with providers, medical assistants, and front office staff to ensure efficient patient care Qualifications Previous medical office or medical call center experience preferred Experience with Allscripts PM/EHR strongly preferred Excellent computer and typing skills Strong telephone etiquette and verbal communication skills Outstanding customer service skills with a compassionate, patient-focused approach Ability to multitask while maintaining accuracy in a fast-paced environment Strong organizational skills and attention to detail Dependable with excellent attendance and punctuality Ability to remain calm, professional, and solution-oriented when handling challenging patient interactions What We're Looking For The ideal candidate is someone who: Enjoys helping people and creating a positive patient experience Learns new systems quickly Works well independently and as part of a team Takes initiative and demonstrates reliability Can balance speed with accuracy in a busy call center environment Maintains professionalism under pressure
