We are committed to reliably service our customers while keeping operational excellence. We are seeking a proactive and detail-oriented Operations Assistant to join our dynamic team. In this vital role, you will support daily office functions, coordinate projects, and ensure smooth administrative operations. Your energetic approach and organizational skills will help streamline processes, manage schedules, and provide exceptional administrative support to various departments. This paid position offers an exciting opportunity to develop your skills in office management, project coordination, and customer service within a collaborative environment. Responsibilities Support order processing & bookkeeping activities using QuickBooks, including data entry, invoicing, and expense tracking Maintain accurate inventory records & pricing across systems Provide executive administrative support such as drafting correspondence, proofreading documents, and transcription tasks Handle front desk duties including greeting visitors, answering multi-line phone systems with professional phone etiquette, and managing incoming calls Maintain organized filing systems both physically and digitally, ensuring easy retrieval of documents Perform office management tasks such as supply ordering, filing, data entry, and supporting office operations to enhance efficiency Skills Proven experience 3+ years in administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Experience with QuickBooks for bookkeeping and financial record-keeping Excellent typing speed and accuracy for data entry and transcription tasks Strong project coordination skills to manage multiple tasks simultaneously Exceptional communication skills with professional phone etiquette and customer service experience Knowledge of office management best practices including filing systems, office equipment operation, and multi-line phone systems Ability to proofread documents meticulously and perform transcription accurately Demonstrated ability to work independently with minimal supervision while supporting team objectives Join us as an Operations Assistant to be a key contributor in maintaining efficient office operations while developing your professional skills in a vibrant work environment.
