Position Summary Reporting to the Regional Administrator, the Operations Coordinator provides high-level administrative and operational support to facilitate the efficient day-to-day management of registry operations. This role serves as a key resource by coordinating meetings, preparing reports, managing projects, tracking operational metrics, organizing communications, and assisting with various administrative functions. The successful candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while handling confidential information with discretion. Key Responsibilities Executive Administrative Support
- Manage calendars, schedule meetings, coordinate travel arrangements, and assist with daily prioritization of Regional Administrator activities. Coordinate and prepare meeting agendas, materials, presentations, and follow-up action items. Reporting & Operational Tracking
- Prepare recurring operational reports, dashboards, scorecards, and KPI tracking documents. Monitor deadlines, maintain project trackers, and provide status updates on key initiatives. Communication Management
- Draft, edit, and distribute emails, reports, announcements, and correspondence on behalf of the Regional Administrator. Serve as a liaison between the Regional Administrator, Administrators, caregivers, and corporate departments. Project & Process Support
- Assist in the implementation and coordination of operational projects, process improvements, and special initiatives. Maintain project documentation and ensure timely completion of assigned tasks. Data & Documentation Management
- Organize files, policies, procedures, and compliance-related documentation. Ensure records are maintained accurately and updated as needed. Branch Operations Support
- Assist with tracking performance metrics, staffing reports, caregiver registration activity, and operational audits. Support team with administrative requests and information gathering. Confidential Information Management
- Handle sensitive operational, financial, employee, and business information with professionalism and discretion. Administrative Efficiency
- Identify opportunities to streamline administrative processes and improve organizational effectiveness.
