We are growing quickly and looking for the right person to become the central point of our office operations. This is not just a basic front desk position. This role is extremely important because most of the business flows through this person — phone calls, customer communication, scheduling, quotes, follow-ups, emails, payments, and daily coordination with installers. We are looking for someone dependable, organized, professional, and highly focused. The right person will take pride in keeping the office running smoothly every day. Position Summary The Office Operations Coordinator will be responsible for managing the daily flow of the business, communicating with customers, scheduling appointments and installations, assisting with sales follow-ups, organizing emails, handling administrative tasks, and keeping the team updated. Responsibilities Answer incoming phone calls professionally and warmly Schedule estimates, measurements, installations, and service appointments Communicate clearly with customers by phone, email, and text Follow up with open quotes and help move customers through the sales process Manage and respond to company emails throughout the day Help coordinate installer schedules and daily job paperwork Open and update work orders in our CRM system Track payments, deposits, balances, and customer account details Keep customer information organized and accurate Help with basic invoicing, quote follow-ups, and office paperwork Communicate important updates to the owner and field team Keep the office organized and running efficiently Take ownership of daily administrative duties without needing constant reminders The Person We Are Looking For We are looking for someone who is: Reliable and shows up every day ready to work Highly organized and detail-oriented Honest, trustworthy, and responsible Professional with customers Comfortable on the phone Good at multitasking without getting overwhelmed Able to stay calm and focused in a busy office Strong with follow-up and communication Willing to learn our systems and processes Looking for a long-term home, not a short-term job Comfortable being held accountable to high standards Positive, steady, and team-oriented Required Experience Office administration experience preferred Customer service experience required Scheduling experience preferred Sales support experience is a plus CRM or invoicing software experience is a plus Strong computer, email, and phone skills required Must be comfortable handling payment information and confidential customer details Important Requirements Because this role involves customer communication, scheduling, payments, and access to business information, all applicants must be able to pass: Background check Reference check Employment verification Reliability, honesty, and professionalism are extremely important for this position.
