Investment Operations Associate True North Advisors | Tallahassee, Florida About True North Advisors True North Advisors is a mission-driven wealth management firm focused on helping clients design personalized financial plans and navigate their financial journey with confidence. We are growing and seeking an Investment Operations Associate to join our team and play a critical role in supporting our advisors, investment operations, and client experience. This is a highly detail-oriented, execution-focused position for someone who understands that exceptional wealth management requires more than investment knowledge—it requires accuracy, organization, communication, follow-through, and ownership. The Investment Operations Associate will work closely with Financial Advisors, clients, custodians, home-office partners, and other internal and external stakeholders to ensure investment-related requests are completed accurately, efficiently, and within expected timeframes. Key Responsibilities Investment & Account Operations Prepare, process, and maintain documentation required for new investment accounts, account maintenance, transfers, and other investment-related requests. Open and fund new investment accounts while ensuring all paperwork and required information is complete and accurate. Process account transfers, journals, distributions, contributions, withdrawals, ACH instructions, wires, and other money-movement requests in accordance with established procedures. Place investment trades and/or establish systematic investment instructions within client accounts, as permitted by licensing and firm procedures. Monitor account activity and transaction status to ensure requests are completed accurately and within established deadlines. Follow up with custodians, broker-dealers, home-office teams, and other third parties regarding outstanding items, transfers, paperwork, and service requests. Maintain accurate client records, case files, account forms, performance reports, and other investment documentation. Assist with account registrations, beneficiary changes, address changes, cost-basis inquiries, and other account maintenance needs. Prepare materials and account information for quarterly, annual, and ad hoc client reviews. Assist advisors with investment-related reporting, portfolio information, account documentation, and client requests. Advisor & Client Support Serve as a key operational resource to Financial Advisors and their teams. Provide timely and professional communication regarding the status of account openings, transfers, trades, money movement, and other operational requests. Communicate with clients when appropriate to gather information, obtain documentation, clarify requests, or provide updates. Anticipate potential issues and proactively communicate before they become client or advisor problems. Take ownership of operational requests from initiation through completion rather than simply passing issues to another party. Develop strong working relationships with advisors, clients, custodians, home-office partners, and other service providers. Deliver a consistently high level of service while maintaining confidentiality and professionalism when handling sensitive financial information. Trade & Transaction Support Process and monitor investment transactions with a high degree of accuracy. Assist with trade-related questions, discrepancies, rejected transactions, and operational exceptions. Research transaction issues and identify the root cause of discrepancies. Escalate complex or unusual situations appropriately while maintaining ownership until resolution. Monitor pending transactions and follow up on outstanding items to prevent unnecessary delays. Maintain appropriate documentation and records related to transactions and account activity. Compliance & Risk Management Follow firm policies, procedures, regulatory requirements, and established operational controls. Ensure account paperwork and investment-related transactions are complete, accurate, and properly documented. Gather required client information and assist with completion of risk-tolerance, suitability, and other investment questionnaires. Maintain strict confidentiality of client financial and personal information. Support periodic audits and compliance reviews by preparing and providing requested investment- related documentation. Identify potential operational or compliance concerns and escalate them appropriately. Stay current on applicable investment operations procedures, systems, products, and regulatory requirements. Process Improvement & Team Support Identify opportunities to improve operational workflows, reduce errors, eliminate unnecessary steps, and improve the client and advisor experience. Help establish and maintain efficient processes and checklists for recurring operational activities. Participate in implementation of new systems, procedures, technology, and investment products. Assist in documenting procedures and creating resources that improve consistency across the team. Conduct quality-control reviews of work when appropriate. Collaborate with team members to balance workloads and meet deadlines during periods of high activity. Serve as a dependable resource for the team and contribute to a culture of accountability, responsiveness, and continuous improvement. Qualifications Required 2-3+ years of experience in investment operations, wealth management, financial services, brokerage, or a related advisory-support role. Demonstrated experience supporting investment accounts, financial advisors, clients, or financial operations. Strong understanding of investment account operations, including account opening, transfers, money movement, trading, and account maintenance. Exceptional attention to detail and accuracy. Strong organizational and time-management skills. Ability to manage multiple priorities and deadlines in a fast-paced environment. Demonstrated ability to follow through on tasks from beginning to completion. Strong written and verbal communication skills. Professional, client-focused approach with the ability to build rapport with clients, advisors, and business partners. Strong problem-solving and critical-thinking skills. Ability to work independently while also collaborating effectively with a team. High level of integrity and discretion when handling confidential client information. Proficiency with Microsoft Office, particularly Outlook and Excel. Licensing FINRA Series 7 and Series 63 preferred; or will be required to obtain within one year of tenure. Series 6 will be considered. Candidates without the required licenses must be willing and able to obtain required licenses within an agreed-upon timeframe. Compensation Annual Salary:
$55,000-$60,000, depending on experience and qualifications.
