Job Description

Overview We are seeking a highly organized, dependable, and hands-on Operations & Administrative Coordinator to support our day-to-day operations. This is a versatile position that combines administrative support, customer interface, sales-order processing, inventory coordination, shipping/receiving, RMA processing, and general office support. The ideal candidate is detail-oriented, comfortable working in a small-business environment, and willing to take ownership of a variety of responsibilities. This person will work closely with the President and other members of the team to help ensure that customer orders, inventory, documentation, and office operations run smoothly. Responsibilities Interface with customers, Process and prepare Sales Orders, RMAs, certificates, and related documentation. Pack, label, and ship customer orders; receive incoming inventory and supplies. Assist with inventory counts, organization, and recordkeeping. Maintain accurate physical and electronic files for Sales Orders and RMAs. Handle incoming calls, emails, correspondence, and general office administration. Maintain office and facility supplies and ensure work areas remain organized. Provide administrative and operational support to the President and team. Perform other duties as needed to support daily company operations.
Qualifications Required:
2+ years of experience in administrative operations, order-processing, warehouse-support, or similar role. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to manage multiple priorities and switch between administrative and hands-on operational tasks. Strong written and verbal communication skills. Basic computer proficiency, including Microsoft Office Suite & Gmail. Ability to maintain accurate records and documentation. Ability to work independently and take initiative. Professional and dependable approach to work. Ability to safely handle and move packages and inventory as required.
Preferred:
Experience with sales orders, purchase orders, RMAs, inventory, shipping, or receiving. Experience working in a manufacturing, electronics, technology, or distribution environment. Experience with an ERP, inventory-management, or order-processing system. Familiarity with UPS, FedEx, or other shipping systems. Experience supporting a small business or executive/President. Experience with accounting software a plus, but not mandatory. Is highly organized and keeps both paperwork and physical work areas orderly. Can move comfortably between a computer-based administrative task and a hands-on shipping or inventory task. Takes ownership rather than waiting to be told what needs to be done. Is dependable and follows through on commitments. Communicates clearly and professionally with customers, vendors, and coworkers. Is comfortable working in a small company where priorities can change throughout the day. Understands that every task—from filing a document to shipping a customer order—is important to the overall operation. Physical Requirements This position involves a combination of office and light warehouse/operations activities. The employee should be able to: Sit and work at a computer for extended periods. Stand, walk, bend, and reach as needed. Lift and move boxes and inventory weighing approximately up to 25 pounds, with assistance when appropriate. Perform repetitive tasks such as packing, labeling, filing, and organizing materials.
Pay:
$40,000.00 - $60,000.00 per year
