Assist in preparing and reviewing annual budgets for accuracy.Primary Responsibilities:
Assist in the organization and coordination of all activities and functions for the Department of Athletics & Student Activities. Perform general administrative office professional duties. Organize and monitor departmental operations. Maintain current databases on a variety of programs related to the department. Order materials, prepare announcements, gather applications, and maintain files for the department. Assist with preparing, monitoring, and maintaining the budgets related to all aspects of the department. Compose correspondence and ensure that the correspondence and other documentation sent from the department is accurate and that it conforms to standard English usage and to the GCPS prescribed style. Screen items sent to the department to facilitate timely resolution of problems and concerns. Initiate and maintain ledgers as assigned. Complete overnight travel arrangements and process overnight travel vouchers. Process all routine forms including purchase orders, check requests, and other related forms. Assist with the organization and coordination of projects for student activities & athletics. Perform budgetary duties as assigned. Monitor the departmental budgets. Process the monthly purchase card charges and send to the Business and Finance Division. Transcribe budget amendments as requested. Promote and maintain positive interpersonal relationships. Cooperate with and maintain positive relationships with other employees of the departments to which assigned. Cooperate with and maintain positive relationships with other school system employees and with external audiences. Provide world-class customer service regarding student activities, athletics, and community schools program inquiries. Perform other duties as assigned.Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
