Job Description
Service Dispatcher / Scheduler Position Summary The Service Dispatcher / Scheduler is responsible for maximizing shop productivity by efficiently scheduling appointments, dispatching repair orders, balancing technician workloads, and ensuring customers' vehicles move through the service process as efficiently as possible. This position works closely with service advisors, technicians, and the service manager to increase technician efficiency, improve customer satisfaction, and maximize labor sales. Essential Responsibilities Scheduling Schedule customer appointments based on technician skill level and availability. Ensure appointments are booked according to estimated labor time. Avoid overbooking or underbooking technicians. Reserve time for warranty work, diagnostics, and repairs. Dispatching Assign repair orders to technicians based on: OEM certifications Skill level Productivity Current workload Repair complexity Monitor technician availability throughout the day. Redistribute work when necessary to maximize efficiency. Shop Workflow Monitor vehicle progress from write-up to delivery. Identify bottlenecks before they affect customers. Communicate delays to service advisors. Help prioritize emergency repairs and waiting customers. Keep work continuously flowing to eliminate technician downtime. Technician Productivity Track daily hours assigned versus hours available. Monitor technician efficiency and utilization. Identify opportunities to better balance workloads. Help maximize flat-rate production. Ensure technicians always have work waiting. Communication Work closely with service advisors regarding scheduling availability. Communicate with technicians regarding upcoming workload. Administrative Responsibilities Review repair orders for proper dispatch. Update technician status throughout the day. Assist with appointment confirmations. Qualifications Strong understanding of automotive repair processes. Ability to understand technician certifications and skill levels. Excellent organizational skills. Strong multitasking abilities. Excellent communication skills. Ability to make quick decisions in a fast-paced environment.
