POSITION SUMMARY
The Wealth Management Operations Associate provides essential operational and transaction-processing support to Idaho Trust's Wealth Management team. This role is responsible for accurately and timely processing account transfers, retirement account transactions, trades, wires, fees, and other account maintenance activities. The Associate works closely with Trust Officers, clearing and contra firms, and other internal partners to resolve exceptions, reconcile discrepancies, and help ensure a consistent, high-quality client experience. Success in this role requires sound judgment, strong attention to detail, the ability to manage competing deadlines, and a commitment to continuous learning. The Wealth Management Operations Associate is also expected to uphold Idaho Trust's values, contribute to team and company initiatives, and support a culture of professionalism, collaboration, and service.
PRIMARY RESPONSIBILITIES
- Process full and partial Automated Customer Account Transfers (ACATs) from brokerage firms accurately and within required timeframes.
- Process IRA transfers and rollovers, including direct rollovers, indirect rollovers, and 60-day rollover transactions.
- Review, research, and resolve ACAT rejections, documentation deficiencies, and account discrepancies in coordination with contra firms and internal partners.
- Serve as an operational resource for Trust Officers on account funding, transfers, and other transaction matters requiring hands-on processing judgment.
- Coordinate with clearing and contra firms to resolve transfer issues, documentation questions, and account discrepancies.
- Support trade execution and processing, including monitoring time-sensitive submission and settlement requirements.
- Process wires and other approved account transactions in accordance with established procedures and controls.
- Open, maintain, and close Wealth Management accounts and complete related operational documentation.
- Assist with trust registrations and Employer Identification Number (EIN) applications.
- Process fees and prepare related operational reports.
- Perform reconciliations and identify discrepancies among transaction requests, account balances, and clearing firm confirmations.
- Draft, maintain, and update departmental procedures to support consistent and repeatable operations.
- Provide cross-training and coverage for team members and participate in departmental or company projects as assigned.
KNOWLEDGE, SKILLS & ABILITIES
- Strong attention to detail, accuracy, and critical-thinking skills.
- Working knowledge of ACAT transfer processes and retirement account transfers and rollovers.
- Basic understanding of trade settlement processes and common security types.
- Strong reconciliation and problem-solving skills, with the ability to identify and resolve transaction discrepancies.
- Ability to prioritize and manage multiple time-sensitive tasks while meeting strict processing deadlines.
- Strong organizational and time-management skills.
- Ability to communicate and collaborate effectively with Trust Officers, co-workers, clearing firms, and other business partners.
- Ability to work independently while contributing effectively as a member of a team.
- Intermediate proficiency in Microsoft Excel and Word and the ability to learn job-related systems and software.
- Commitment to maintaining confidentiality, following established procedures, and exercising appropriate judgment in a regulated financial-services environment.
EDUCATION & EXPERIENCE
- Associate degree preferred, ideally in business, accounting, finance, or a related field; an equivalent combination of education and relevant experience will be considered.
- At least one year of related experience in wealth management, trust operations, trust administration, investments, brokerage operations, or a comparable financial-services environment preferred.
- Relevant financial-industry training or coursework is beneficial.
- General knowledge of trusts, estate planning, and trust taxation is preferred.
