$48,000+ per year, based on experience Funky Painting is hiring a high-accountability Job Readiness & Scheduling Coordinator to own the handoff from sold job to production-ready job. This is not a basic front-desk or appointment-setting role. You will coordinate 20+ painting projects per week and protect the schedule from preventable chaos. Your job is to make sure every project is ready before the Project Consultant and crew arrive. What you will own:
Coordinate sold painting projects from contract through job-start readiness. Build and maintain the production schedule for 20+ active jobs per week. Schedule projects based on customer availability, crew capacity, project duration, geography, and crew skill fit. Coordinate crew assignments with the production team. Collect and confirm all job-start requirements, including: Signed agreements Deposits Paint colors and product selections Scope notes and repair details Customer access information and special requirements Start-date confirmation Complete a job-readiness review 3-5 business days before every scheduled start. Identify missing information early and drive the right person to resolve it. Hold incomplete jobs from entering the production schedule until requirements are complete. Communicate schedule changes quickly and clearly with homeowners, crews, Project Consultants, and leadership. Keep job records, schedule status, and production calendars accurate every day. Track the reasons jobs are delayed, moved, or not ready so we can eliminate recurring breakdowns.
What success looks like:
95%+ of scheduled jobs are fully ready at least 3 business days before their start date. Deposits, colors, scope notes, and customer details are confirmed before crews are dispatched. Internal scheduling errors cause fewer than 5% of jobs to move. Homeowners and crews receive clear, timely communication. The production schedule stays organized, accurate, and visible 2-3 weeks ahead. Problems are solved before they become emergencies. You are a strong fit if you: Have experience coordinating schedules, projects, dispatch, production, or operations in home services, construction, restoration, painting, HVAC, plumbing, roofing, or a similar fast-moving environment. Have managed a high volume of active jobs, appointments, or moving pieces at once. Are highly organized and detail-oriented without getting stuck in the details. Take ownership instead of waiting to be told what to do. Can follow a process, improve a process, and hold others accountable to it. Communicate clearly and professionally by phone, text, email, and in person. Stay calm when plans change and can quickly decide what needs to happen next. Are comfortable using scheduling software, CRM systems, spreadsheets, and calendars. Can be direct when a job is missing required information or is not ready to schedule. What will not work in this role: Waiting for people to follow up with you. Letting incomplete jobs enter the schedule because someone asks for an exception. Avoiding difficult conversations when a deposit, color selection, or scope detail is missing. Treating the calendar like data entry rather than a tool that protects crews, homeowners, and profitability.
Preferred qualifications:
2+ years in scheduling, dispatch, operations coordination, project coordination, or production administration. Experience in residential home services or construction. Experience managing 15-25+ jobs, work orders, or appointments per week. Strong proficiency with Google Workspace or Microsoft Office, spreadsheets, and scheduling/CRM software.
