Operations Assistant Sygnal Technologies, Inc. | Moscow, ID | Full-time, Monday-Friday, 8:30-4:30 About Us Sygnal is a robotics and autonomy company specializing in Drive-by-Wire retrofits for heavy industrial equipment. We value precision, reliability, and getting the job done right. About the Role As our Operations Assistant, you'll be the go-to person at the center of the business, owning the day-to-day A/P, A/R, purchasing, logistical, and administrative work that keeps multiple concurrent projects moving. You'll work closely with project managers, engineers, leadership, shop and field teams, vendors, and customers. One hour you might be categorizing expenses, the next receiving a parts shipment or booking travel for a site team. We're looking for someone with foresight: a person who catches problems before anyone else notices, resolves them quietly when possible, and flags them early when they'll affect others. You'll balance longer-term projects with knowing when something needs your attention right now. What You'll Do Purchasing, Inventory, and Logistics Source and procure parts, materials, and equipment, placing purchase orders and tracking them through delivery, timed around stock risk and project needs. Find hard-to-obtain parts using Octopart and other research, identifying substitutes and working with engineers on approval. Receive and verify shipments against purchase and sales orders, maintain accurate inventory, and schedule freight and prepare paperwork for domestic and international shipments. Maintain and improve our ERP system (Carbon), keeping inventory, orders, financial data, and part numbers accurate and synced with engineering BOMs from Cadonix and Onshape. Finance and Payroll Handle daily bookkeeping and manage A/R and A/P in QuickBooks, including bills, invoicing, company credit card payments, and international wire transfers. Review Expensify reports for documentation and project coding, process reimbursements, and reject incomplete or incorrect reports when needed. Verify hourly time, track support hours in QuickBooks Time, and help prepare payroll, including bonuses, deductions, per diem, mileage, and extended-hours pay for salaried staff. Prepare spreadsheets and reports for leadership on projects, spending, payroll, and operations. Coordination and Office Operations Track job statuses across projects, support production scheduling, and escalate blockers early. Serve as a point of contact for internal teams, vendors, customers, and our landlord, routing requests to the right people. Book travel for employees and site teams, including flights, lodging, and rental vehicles. Manage office supplies, order the weekly team lunch, find thoughtful ways to celebrate the team, and support special projects as we grow. What We're Looking For 1-3+ years in an administrative, operations, or coordinator role. Proficiency with spreadsheets and office software, and comfort learning new systems. Clear, professional written and verbal communication. Strong attention to detail and organizational skills. Sound judgment about priorities and the ability to shift gears when something urgent comes up. A dependable, positive work ethic and willingness to take ownership, ask questions, and learn from mistakes. Experience with QuickBooks, QuickBooks Time, Expensify, and/or ERP systems (Carbon a bonus). Nice to Have Experience with procurement, electronic component sourcing, payroll prep, shipping, wires, or corporate travel. Exposure to Onshape or Cadonix, or a background in manufacturing, engineering, or robotics.
