About The Company We are a growing family owned business in the Chicagoland area's premier provider of high-quality window and door installations. We pride ourselves on exceptional craftsmanship, superior customer service, and seamless operational execution. We are seeking a highly organized, proactive Installation Coordinator to serve as the vital link between our customers, installation crews, and warehouse operations. Role Overview The Installation Coordinator is the operational hub for our installation department. In this role, you will manage the lifecycle of an installation project from the moment materials are ordered to the final payment collection. You will balance logistical scheduling, warehouse inventory management, and detailed database administration to ensure our installation teams are deployed efficiently and our customers receive world-class service. Key Responsibilities Scheduling & Logistics
    Coordinate Installs:
    Serve as the primary point of contact for scheduling window and door installations with customers, ensuring clear communication regarding dates, times, and expectations.
      Service Appointments:
      Schedule and dispatch technicians for follow-up installation services, warranty work, or repairs stemming from original installs.
        Material Tracking:
        Proactively monitor and follow up on ETAs for all ordered materials with vendors to prevent scheduling delays.
          Crew Packets:
          Put together installation crew packets. Reporting & Administration
            Next-Day Preparation:
            Compile and submit a comprehensive daily scheduled installation report outlining all operational details for the following day's installs.
              Completion Tracking:
              Generate and distribute a previous-day installation report specifically detailing projects that have been successfully completed and paid in full.
                Database Management:
                Maintain meticulous, up-to-date customer records, project notes, and installation milestones within the company CRM/database.
                  Payroll Preparation:
                  Prepare installer payroll for approval and processing. Warehouse & Inventory Management
                    Receiving:
                    Physically receive inbound materials and shipments in the warehouse, verifying accuracy against purchase orders.
                      System Entry:
                      Promptly and accurately log all received materials into the database to ensure inventory records reflect real-time warehouse stock. Qualifications & Skills
                      • Prior experience in scheduling, dispatching, or project coordination, preferably within the home improvement, construction, or window and door industry.
                      • Strong administrative background with the ability to build and maintain tracking reports (experience with Microsoft Excel and Word is highly preferred).
                      • Comfortable working in a dual-environment role that requires both office administration (database management, customer calls) and light warehouse duties (receiving materials).
                      • Exceptional organizational skills and strict attention to detail when inputting notes and tracking project financial statuses.
                      • Ability to communicate professionally and effectively with customers, service technicians, and internal management.
                      • Strong sense of urgency and work ethic.
                      • Must work well under pressure.
