Job Description
Step Forward Therapy is on a mission to improve the overall quality of life for the children and families we serve. We provide exceptional Occupational Therapy, Speech & Language Therapy for adolescents and developmentally delayed adults in the Rolling Meadows area. We believe that building strong relationships with our clients and their families is essential to providing effective therapy services. We're looking for a motivated individual to join our team as a Scheduling Coordinator. Our ideal candidate is someone who has a customer-centric attitude, enjoys working in a fast-paced environment and is able to multitask by managing therapist's schedules by communicating with families via phone, email and in-person. Responsibilities:
Greet guests, answer phones, monitor and respond to emails and voicemails Manage therapist's schedules as per the need of the clients Keep all schedules up to date on the scheduling system Arrange coverage for therapist's cancellations, maintain time-off schedule, and ensure client appointments are covered when therapists are ill or out of the office (short
•& long-term) Manage patient continuity of care and reassign therapists when necessary Address client concerns and manage requests for schedule changes as/when needed Help client understand our policies, and explain the importance of arriving for appointments on time Keep the scheduling office and waiting area organized and clean at all times Other administrative duties as assigned
Qualifications:
Prior scheduling experience ( 1 year preferred) Customer service experience (1 year preferred) Proficiency using Apple products and Google Workspace (preferred) Strong analytical and problem-solving skills, with the ability to take initiative, think strategically, and effectively plan and prioritize tasks. Excellent interpersonal, communication, and listening skills Excellent planning, time management and prioritization skills with the ability to meet expected deadlines Flexible, positive, and adaptive to a fast-paced environment with changing schedule-related needs Punctual and reliable Ability to work independently with minimal supervision, as well as work with a team Must be dog-friendly.
