Job Description

Service Operations Coordinator Function Overview Hydromax Services is a growing service organization operating across both plumbing and hauling divisions. We are committed to operational excellence, customer satisfaction, and building efficient systems that support our field teams. The Service Operations Coordinator plays a critical role in keeping our day-to-day operations running smoothly — from ensuring materials are in the right place at the right time, to making sure our hauling routes are optimized for profitability and compliance. Position Summary The Service Operations Coordinator is a full-time, office-based role responsible for managing inventory, procurement, project setup, and route planning within Service Titan. This position serves as an operational hub, supporting multiple divisions by ensuring materials are stocked and accessible, purchase orders are accurate and timely, approved estimates are converted into active jobs, and hauling routes are planned for maximum efficiency. This is a detail-oriented, systems-driven role for someone who thrives on keeping multiple moving parts organized and on track. Key Responsibilities Maintain accurate inventory levels for parts, equipment, and materials across warehouse and service vehicles Track stock movement and usage patterns to ensure materials are available when and where they are needed Perform regular cycle counts and inventory audits to ensure system accuracy Initiate reorder requests when inventory reaches a minimum threshold Create, issue, and manage purchase orders in accordance with company procurement procedures Receive incoming materials and verify accuracy against purchase orders and packing slips Review pick tickets for accuracy and post batches for operations approval Process material requests submitted by technicians and project managers in a timely manner Ensure all requests are properly approved and aligned with job budgets before fulfillment Convert approved requisitions into purchase orders or allocate from existing inventory Coordinate material staging and delivery logistics for upcoming jobs across both divisions Build jobs and projects in Service Titan based on approved customer estimates Accurately input equipment, materials, labor hours, and task codes to support job costing Ensure job costing details align with the original estimate and flag discrepancies for review Update projects in real time as scope changes, material substitutions, or schedule adjustments occur Plan and optimize daily, weekly, and long-term hauling routes to support efficient collection, delivery, and disposal operations Adjust routes and appointments in real time to account for traffic, weather, equipment issues, or emergency service calls Ensure full compliance with DOT regulations, weight limits, local ordinances, and company safety policies Balance workloads across drivers and trucks to avoid overloading equipment or personnel in both divisions Monitor key route performance metrics including on-time service, fuel consumption, and overall efficiency Physical Demands Ability to sit for extended periods while working on a computer and managing multiple software systems Frequent use of hands and fingers for typing, data entry, and operating office equipment Occasional standing, walking, and lifting of office or warehouse materials up to 25 lbs. Clear verbal communication ability for coordination with drivers, vendors, and internal teams Close vision and ability to adjust focus for extended computer-based work Qualifications & Experience 2+ years of experience in operations coordination, logistics, inventory management, or a related field preferred Experience with Service Titan or similar field service management platforms strongly preferred Familiarity with DOT regulations and hauling/transportation compliance a plus Strong organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment High attention to detail — accuracy in data entry, purchase orders, and job costing is essential Proficiency in Microsoft Office applications, GPS/fleet management software, and routing tools Strong written and verbal communication skills with the ability to coordinate effectively across teams Ability to work independently, take initiative, and problem-solve with minimal supervision High school diploma or equivalent required; associate or bachelor's degree in business, logistics, or operations a plus Performance Expectations Inventory accuracy maintained through consistent cycle counts and timely reorder activity Purchase orders issued accurately and in a timeframe that prevents job delays All approved estimates converted into active jobs in Service Titan within established turnaround times Hauling routes planned and distributed ahead of schedule with real-time adjustments handled proactively DOT compliance maintained across all route planning and scheduling activity Cross-functional coordination with drivers, dispatch, field techs, and management is consistent and professional Regular reporting on route performance, procurement activity, and inventory status provided to management Requirements Full-time position; standard hours Monday through Friday Must be comfortable managing competing priorities and responding to operational changes in real time Reliable attendance and consistent follow-through on assigned responsibilities Ability to maintain confidentiality of vendor pricing, job costing, and operational data
