A Scheduler or Operations Coordinator provides scheduling and logistical support for an office, company or organization. May specialize in scheduling required for production or for administrative work.
Perform accounting, recordkeeping, reporting, clerical, customer service and tracking functions for the Mishawaka Utilities Electric Division using independent judgment with minimal supervision. The Operations Coordinator will assist the Operations Manager with ensuring proper inventory levels are maintained, generate purchase requests and purchase orders, and perform related duties as required. Duties are to be performed under the general supervision of the Electric Division Manager.

JOB LOCATION
Operations Coordinator duties are performed primarily in the offices of the Electric Division. Travel to other Utility or City facilities is frequently required.
PHYSICAL REQUIREMENTS
Must be able to sit for long periods of time. Must be able to stand, stoop, reach, kneel and climb stairs. Must have ability to speak clearly, hear and see adequately.
ENVIRONMENTAL /WORKING CONDITIONS
Most work is performed in an office environment. May be subject to frequent interruption. Must be able to walk on wet grass, wet leaves, and heavy dew and frost covered ground. Must be able to work around obstacles such as pallets, storage racks, vehicles, railings, on balconies, and confined spaces.
ESSENTIAL FUNCTIONS OF THE JOB
Track employee hours, overtime, and compensatory time daily, making necessary adjustments and corrections to match service records with payroll data Maintain time-off, overtime, and other payroll records Advise supervisors on work rules, holidays, and other issues relative to the IBEW collective bargaining agreement. Coordinate with Controller's Office and Human Resources on application of Long-Term Disability and FMLA for Electric Division employees Act as Electric Division liaison for employees on Human Resources and Insurance developments Produce and maintain records for purchases, travel, and various expenses Schedule travel reservations for trips, conferences and seminars. Monitor apprenticeship program according to Department of Labor standards Maintain equipment inspection records, including substation data Coordinate permits for confined space entry and construction and maintain records Produce and maintain disciplinary and employment records for Division Coordinate call-out lists with supervisors Address answering service errors and problems Maintain service call records according to County-City Archivist requirements Monitor and order office supplies Manage petty cash Act as the Operations Manager during their absence. Provide and record various correspondence Provide information for annual budget

Answer phone, take messages, and address members of the public. Assist Division personnel and other City departments as needed. Must have well developed verbal and written skills to communicate effectively with vendors and factory representatives.
REQUIRED KNOWLEDGE AND ABILIITES
Knowledge of modern office administration, secretarial, bookkeeping, payroll practices, and statistical procedures Knowledge of departmental regulations, practices and procedures Ability to assemble data and prepare accurate records and reports Initiative and resourcefulness in handling public contacts and solving office problems Excellent typing skills Excellent customer service skills Ability to research permits and bond issues pertaining to construction projects Efficient work habits Ability to prioritize daily workload, multi-task and work through frequent interruptions
QUALIFICATIONS
High School diploma or GED required Excellent telephone skills and experience in multi-line phone systems Proficiency in office equipment listed in "C" above Valid US driver's license. Proficiency with computer programs, including Word, Excel, Access, PowerPoint and proprietary payroll program Must pass a pre-employment drug screen Adherence to the City of Mishawka's drug- and alcohol-free policy Agreement and adherence to confidentiality policy
