Our practice is comprised of ophthalmologists, primary care optometrists, and a dedicated 60+ support staff. As one of the region's premier eye care providers, we take great pride in caring for our patients. We invite you to become a part of our team in one of our 10 locations: Corbin, Cynthiana, Lexington, London, Middlesboro, Morehead, Maysville, Paintsville, Mt. Sterling, and Versailles. Position Summary The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures to ensure timely, efficient, and accurate utilization of operating room resources, surgeon availability, and optimal patient care. Responsibilities Schedules surgical procedures based on surgeon availability, operating room capacity, and facility guidelines. Accurately enters and updates surgical case information in scheduling systems and electronic health records. Manages schedule changes related to cancellations, postponements, or urgent add-on cases. Verifies required documentation prior to scheduling (e.g. surgeon orders, case details, preference cards as applicable). Verifies patient insurance coverage and ensures all required referrals and documentation are completed prior to scheduling. Obtain necessary prior authorizations for surgical procedures as needed. Communicates finalized schedules and updates to the surgeons, nursing staff, anesthesia, and ancillary departments. Identifies and resolves scheduling conflicts to optimize workflow and efficiency. Provides patients with basic logistical information such as surgery date, time, and location assigned. Answers phone and responds to inquiries. Interacts with all internal and external customers in a caring and respectful manner. Ensures compliance with HIPAA, confidentiality standards, and organizational policies. Assists with reports or audits related to operating room utilization and scheduling efficiency, as requested. Contributes to the team effort by completing additional tasks or projects as directed. Attends daily huddles and regularly scheduled team meetings. Attends Ambulatory Surgery Center meetings as requested and approved by management.
