Position Overview We are seeking an HR & Office Operations Specialist to support the establishment and ongoing operations of our East Coast office. This role will serve as the local HR and administrative point of contact, supporting recruitment, onboarding, employee operations, office setup, vendor coordination, and day-to-day workplace needs. The ideal candidate is hands-on, highly organized, and comfortable working in a growing environment. This position will work closely with our U.S. HR team, local business leaders, and cross-regional teams to support both people operations and the continued growth of the East Coast team. Key Responsibilities 1.
Talent Acquisition & HR Operations Recruitment Support:
Assist business departments in developing accurate recruitment profiles and job descriptions tailored to local market needs
Candidate Screening:
Participate in initial interview screenings for key local positions, evaluating core competencies and culture/position fit
Interview Scheduling:
Coordinate interview calendars across candidates, hiring managers, and cross-regional leadership teams
Onboarding :
Lead local onboarding programs (new hire welcome, workspace setup, identity verification, documentation) to deliver a smooth employee orientation experience
HR Data & Document Management:
Maintain accurate employee records, data entry, and assist corporate HR in tracking regional personnel changes. 2. Office Setup & Site Operations (New Office Establishment)
Office Procurement & Setup:
Assist in finalizing local office lease setups, coordinating with building management, vendors, and contractors to ensure smooth office setup and move-in
Vendor & Supply Management:
Manage relationships with facility vendors (cleaning, security, IT support, office equipment, utilities, snacks/beverages) and set up ongoing purchasing/inventory systems
IT & Equipment Logistics:
Collaborate with corporate IT to coordinate hardware/equipment procurement, internet installation, workstation setups, and asset tracking for new hires
EHS & Compliance:
Implement local office policies, workplace safety guidelines, emergency procedures, and ensure compliance with Massachusetts safety and labor standards
Event & Visitor Management:
Coordinate site visits, team meetings, corporate events, and host visiting leadership or clients. 3. Administrative Support & Process Improvement Provide comprehensive administrative support, including calendar scheduling, travel arrangements, expense report tracking, and document archiving Maintain organized administrative/financial records and continuous process improvements to streamline office operations as the team expands Serve as the local point of contact for employee inquiries regarding facilities, office equipment, and local HR processes.
Qualifications & Key Requirements Experience:
3-5+ years of experience in Office Management, Administrative Operations, or HR/Recruiting support. Experience in setting up a new office location or handling facility operations is highly preferred
Recruitment & HR Knowledge:
Hands-on experience with candidate screening, interviewing, and basic employee onboarding processes; familiarity with local US labor practices
Vendor & Project Management:
Proven ability to coordinate with external suppliers/contractors, manage office setup budgets, and keep project timelines on track
Soft Skills:
Outstanding organizational skills, strong multi-tasking capabilities, detail-oriented, and excellent cross-functional communication skills
Technical Skills:
Proficiency in MS Office, Applicant Tracking Systems, and HRIS platforms
Language:
Professional working proficiency in English (Bilingual skills in Mandarin Chinese is a strong plus, considering cross-

$70,000.00 - $120,000.00 per year
