The ideal candidate must be fluent in English and Creole and will coordinate and schedule ASAP, HMO, and private-pay cases. Key Responsibilities Coordinate and perform all scheduling functions in accordance with company policies, client needs, employee qualifications, and caregiver availability. Assign qualified caregivers to all accepted cases and ensure that every authorized shift is filled. Notify the Team Leader promptly and request assistance when a shift cannot be filled. Respond quickly to caregiver call-outs, schedule changes, vacation requests, and other staffing issues. Work to prevent missed visits and service interruptions while supporting client satisfaction and agency operations. Provide caregivers with information regarding their schedules and explain applicable company policies and procedures. Document all changes involving client service hours, schedules, employee performance, client concerns, and communications with case managers, clients, and family members. Inform the Administrator or Office Manager of personnel issues, client complaints, scheduling concerns, emergencies, illnesses, and other situations that may affect clients, caregivers, or agency operations. Obtain a daily report from the On-Call Coordinator regarding scheduling and staffing activities that occurred outside regular business hours. Provide the On-Call Coordinator with an end-of-day report describing any changes from the established schedule. Contact the answering service at the beginning of each business day to obtain messages received after hours and confirm the employee assigned to on-call coverage. Handle all business calls and interactions professionally, accurately, respectfully, and efficiently. Respond promptly to questions from clients and referral sources regarding agency services, fees, and caregiver availability. Contact new clients to confirm their service start date, preferred schedule, and service-plan requirements. Follow up with clients after services begin to evaluate their satisfaction with the agency and assigned caregiver. Ensure that field staff are capturing visit information electronically. This includes capturing EVV via mobile devices or other available technologies in such a way that allows the visit to be auto verified. Verify authorized service hours and confirm that scheduled services were delivered to support timely and accurate billing. File incoming documents promptly and maintain the security and confidentiality of all HIPAA-protected information. Participate in the agency's Quality Improvement Program and assist with ongoing data collection and reporting. Perform other scheduling and care-coordination duties as assigned. Qualifications and Requirements High school diploma or GED required; an associate degree is preferred. Fluency in both English and Creole is required. Strong verbal and written communication skills. Basic computer skills and the ability to learn scheduling and healthcare software. Previous scheduling, home-care, healthcare, or customer-service experience is preferred. Strong organizational, time-management, and problem-solving abilities. Ability to manage multiple responsibilities accurately in a fast-paced environment. Excellent customer-service and interpersonal skills. Ability to work independently, demonstrate initiative, and meet established deadlines. Dependable team player with a strong "all hands on deck" attitude. Exceptional work ethic, professionalism, discretion, and attention to detail.
