POSITION TITLE
Oncology Scheduler
REPORTS TO
Infusion Manager
LOCATION
Mercy Surgical Oncology SUMMARY :
Accountable for coordinating all scheduling for clinical procedures in a timely manner. Communicates and relays information to patients and answers any questions or concerns. Responsible for processing and monitoring prior authorizations. Works closely with providers and other staff members to ensure quality patient care.
ESSENTIAL DUTIES AND RESPONSIILITIES
The following description of the job responsibilities and standards are intended to reflect the significant responsibilities and duties the job, but is not intended to describe duties and/or other responsibilities as may be assigned from time to time according to skill set. A. Scheduling Coordinate and schedule procedured, pre-ops, EKGs, Lab work and radiological exams for all surgical procedures. Schedule appointments as appropriate, assuring that all proper paperwork and referrals/authorizations are received by providers and outside facilities in time for the date of service. Communicate with referring provider offices, as well as the patients, in regards to the completion of their external referral/authorization and associated appointment specifics. Responsible for documenting the status of the referral/authorization as well as the authorization detail in the referral and/or telephone encounter, as appropriate and following departmental guidelines. Responsible for timely processing of Prior Authorizations for high tech imaging and other varies testing as required by insurance carriers. Document accurately in Epic, answer phone calls and rout to appropriate recipient. Performs additional duties as required. B•. Professional Communication• Maintains confidentiality in matters relating to all aspects of employment, including patient/family/significant other confidentiality. Interacts with patients/family/significant others with a variety of developmental and sociocultural backgrounds in appropriate manner. Provides information to patients and family/significant others that reduces anxiety and conveys an attitude of acceptance, sensitivity and caring. Maintains professional relationships and conveys relevant information to other members of the health care team. Will be proficient on the electronic medical records system and accurately and completely document patient information utilizing the system as needed. C. Teamwork Works collaboratively as a health care team member. Maintains positive attitude with patients, family/significant others and coworkers.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
High school diploma or equivalent required. Medical Assistant background desirable. Two (2) years training or experience in a medical office setting. Oncology experience preferred. Proficiency in electronic medical record systems. Experience with Epic, NextGen, or Meditech a plus. Must possess excellent verbal, written and interpersonal skills. Must have the ability to work well with others in a very busy, close environment. Must cooperate well with others by demonstrating flexibility and working in a collaborative manner to meet departmental needs. High level of dependability and accuracy required. Must be organized and goal-directed.
PHYSICAL AND MENTAL REQUIREMENTS OF JOB
Intermittent walking. Can be stressful. Position requires ability to frequently lift light objects less than 20 lbs., perform moderately difficult manipulative and hand-eye coordination skills; walk, stand and sit for prolonged periods; see objects closely and far away and hear normal sounds with some background noises. Position requires ability to concentrate on fine detail with interruption and attend to tasks for more than 60 minutes at a time. Individual must be able to understand and relate to theories behind several related concepts and remember multiple tasks given over long periods of time.
WORKING CONDITIONS
Requires working in an office environment where there are relatively few physical discomforts due to dust, dirt or noise. Physical surroundings are pleasant and comfortable. Occasional stress may be due to periodic or cyclical workload pressures. Position requires sitting and the use of computer, phone and websites.
