Job Overview We are seeking a highly organized, resourceful, and proactive Administrative & Operations Assistant to support our team approximately 20 hours per week. This is a varied, hands-on position in a small-business environment. The right person will be willing to dig in, learn how our business works, and assist wherever administrative follow-through is needed. Responsibilities may span office administration, purchasing, sales, marketing, accounting support, client coordination, and internal operations. This is not a position where every task will arrive with detailed instructions. We need someone who is comfortable asking thoughtful questions, researching how a system or process works, and taking ownership of assignments through completion. Responsibilities Provide administrative and operational support across the business. Learn and use company systems to enter information, maintain records, prepare materials, and track follow-up items. Assist with purchasing, hardware orders, deliveries, returns, warranties, and inventory. Support sales and marketing activities, including CRM maintenance, proposal preparation, data cleanup, events, and client communications. Assist with routine accounting administration, including receiving and depositing checks and organizing supporting documentation. Help coordinate meetings, appointments, onboarding activities, and internal projects. Prepare and organize presentations, reports, agreements, meeting notes, and other business documents. Identify missing information, follow up with the appropriate people, and help keep assignments moving forward. Document processes as they are learned or developed. Help improve the organization and accuracy of company information and records. Take on new administrative and operational responsibilities as business needs evolve. The responsibilities listed above are representative examples. Because we are a small company, the position will evolve and may include other tasks and projects based on the needs of the business. The Ideal Candidate Has at least two years of administrative, operations, purchasing, sales-support, or similar experience. Is naturally curious and enjoys learning unfamiliar systems and processes. Is comfortable digging into a task, gathering information, and figuring out the appropriate next step. Takes ownership and follows assignments through without constant supervision. Notices when something is missing, unclear, or incomplete and asks the right questions. Can balance recurring responsibilities with changing priorities and unexpected requests. Is highly organized and maintains accurate, complete records. Communicates professionally with clients, vendors, and coworkers. Is proficient with Microsoft Outlook, Word, Excel, and PowerPoint. Is comfortable learning CRM, purchasing, documentation, and other business-management systems. Handles financial, employee, company, and client information confidentially. Works well as part of a small, collaborative team. Can receive and organize computer equipment and packages weighing up to 30 pounds. Previous experience with an IT company is helpful but not required. We are more interested in finding someone with strong judgment, initiative, curiosity, and follow-through.
