This position works across all functional areas of the office, including the Transfer Team, Registration, and Records, to document and standardize office procedures, analyze operational and enrollment data, identify opportunities for efficiency, and support the Associate Vice President and University Registrar on special projects. Unlike positions assigned to a single functional area, this role is designed to move where support is most needed, giving the office added flexibility and a consistent point of contact for process documentation, data review, and project coordination. Essential Duties and Responsibilities List of essential functions with estimated percentage of time: Assist the Transfer Team with processing transfer credit, supporting the degree audit tool, and providing coverage during peak enrollment and evaluation periods. Create, maintain, and regularly update the Office of the Registrar's procedures manual, documenting standard operating procedures for registration, records, transfer, and front counter functions. Provide backup support at the front counter and with general customer service and data entry duties as needed. Collect, review, and analyze operational, enrollment, and student records data; prepare reports and recommendations for the Registrar and Associate Registrar to support decision-making. Support the Registrar on special projects, including system upgrades or implementations, policy and procedure reviews, and cross-departmental initiatives. Identify office-wide process improvement opportunities, research best practices at peer institutions, and recommend changes to workflows, forms, and communications; recommendations are reviewed and approved by the Registrar or Associate Registrar prior to implementation. Perform other duties as assigned. Minimum Qualifications Education - A college degree or four to eight years of work experience in a related field. Employment - Two years to five years (Equivalent combination of education and employment). Preferred Qualifications Prior experience in a registrar's office, enrollment services, or other higher education administrative setting is preferred. Experience with process improvement, project coordination, or technical writing/documentation is a plus. Knowledge, Skills, and Abilities Strong written and verbal communication skills, with the ability to write and organize clear procedural documentation. Proficiency in Microsoft Excel and other data and reporting tools, with the ability to analyze operational data and summarize findings for non-technical audiences. Familiarity with student information systems (e.g., Banner, Colleague, or Workday Student) and degree audit software preferred. Strong organizational skills and the ability to manage multiple, competing priorities across different functional teams. Ability to work both independently and collaboratively, building effective working relationships across the office. Discretion in handling confidential student records and FERPA-protected information. Physical Requirements Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds). Work Environment Regular exposure to favorable conditions such as those found in a normal office. Salary/Pay Information Commensurate with experience. Anticipated Schedule Monday to Friday 8.30 Am to 5.00 PM. Some weekend or alternate hours may be required.
