The Legal Operations Coordinator provides operational and case support for the Warranty Litigation team by coordinating legal correspondence, processing incoming and outgoing mail, maintaining matter records, and supporting the day-to-day workflow of warranty litigation claims and arbitration matters. This role serves as a key point of coordination for attorneys, paralegals, legal analysts, and business partners to help ensure efficient matter management, accurate recordkeeping, timely communications, and consistent legal operations across a portfolio of cases.
Key Responsibilities:
Receive, process, distribute, and track legal mail, pleadings, arbitration notices, service documents, subpoenas, and other litigation-related correspondenceMaintain centralized matter files and case management systems, including matter intake, file creation, document organization, status updates, and record retentionCoordinate warranty litigation claims and arbitration matters by monitoring key dates, updating case records, and facilitating communication among stakeholdersSupport arbitration administration activities, including filing submissions, scheduling hearings, coordinating materials, and maintaining related documentationCoordinate service of process activities, including routing legal documents, tracking deadlines, and maintaining proof-of-service recordsManage document intake and distribution to ensure accurate and timely processing of legal materialsMonitor departmental mailboxes and correspondence queues, ensuring timely routing and follow-up of requests, notices, and legal documentationAssist with discovery support activities, including document collection coordination, tracking production requests and deadlines, maintaining logs, and organizing case materialsPrepare routine correspondence, status reports, matter summaries, tracking spreadsheets, and operational metrics to support litigation portfolio oversightCoordinate meetings, document deliveries, electronic submissions, and other case-related logistics for attorneys and paralegalsSupport legal operations processes and continuous improvement initiatives by identifying opportunities to enhance workflow efficiency, organization, and service deliveryMaintain confidentiality and ensure compliance with legal, regulatory, and company requirements related to records management and document handling
Basic Qualifications:
Associate's degree (2-year) or higher; or High School Diploma/GED with 5+ years of related experienceExperience in a professional office environmentExperience using Microsoft Office applications, including Outlook, Word, Excel, and PowerPointExperience managing records, documents, correspondence, or workflow processes
