Full Job Description Description:
The Service Scheduling and Support Administrative Specialist is responsible for managing incoming and outgoing correspondence for the Service Department scheduling team, coordinating with customers on service scheduling and requests, updating Salesforce work orders with customer provided information, and maintaining required technician compliance documentation in customer portals such as Avetta and ISN.
Essential Duties and Responsibilities:
Receive and disseminate incoming email correspondence for the service department scheduling inbox. Communicate with customers regarding service request coordination once scheduling and proposed service dates have been sent. Update Salesforce work orders with customer-provided information. Maintain and upload required technician documentation, including Job Hazard Analyses and work authorization forms, to the Avetta compliance portal and other contractor compliance portals such as ISN. Assist with other departmental roles as backup when needed.
Requirements:
High School Degree or equivalency (required). Previous experience in customer service (preferred). Salesforce experience (preferred). High attention to detail. Excellent verbal and written communication skills. Excellent interpersonal and engagement skills. Proficient in common word processing, spreadsheet, database, and web-based applications. Proficient in Microsoft Office Suite. Team oriented with a "can do" mindset. Able to work autonomously with little oversight. Ability to multitask and remain highly organized, developing effective organizational systems as needed. Ability to manage a high volume of inbound and outbound correspondence in a fast-paced environment. This is an in-office position. General working hours are Monday through Friday, 8:00 AM to 4:30 PM.
