Job Description The Talent Acquisition Operations Specialist is a key contributor to the recruiting and onboarding lifecycle, serving as a primary point of contact for candidates, new hires, and internal stakeholders. This role owns and independently manages critical components of recruiting operations, including contingent worker conversions, job postings, offer creation, background tracking, and onboarding coordination.
This position requires strong judgment, decision-making, and the ability to navigate onboarding and system-related challenges while balancing process compliance with candidate experience. The Specialist operates with a high degree of autonomy in a fast-paced, high-volume environment and is accountable for ensuring smooth Day 1 onboarding and timely candidate start dates.
Key ResponsibilitiesEnd-to-End Hiring & Conversion OwnershipIndependently manage the end-to-end contingent worker conversion process, including approvals, job review and posting, offer creation, background screening, and onboarding coordinationCreate and generate offers for contingent worker conversions, internal placements, and direct hires, ensuring alignment with compensation guidelines and approval requirementsMonitor conversions and direct hires through pre-employment screening and background processes, proactively identifying risks to start dates and driving resolutionExercise judgment to assess exceptions, risks, or delays and determine appropriate next steps, escalation paths, or alternative solutionsCandidate Support & Experience (Candidate-Facing Role)Serve as the primary point of contact for candidates and new hires, providing guidance, updates, and hands-on support throughout the hiring and onboarding journeySpend significant time working directly with candidates to navigate onboarding systems, troubleshoot technology and access issues (Level 1 support), and triage issues as needed for resolutionProactively guide candidates through onboarding requirements to ensure readiness for Day 1 and timely startsEnsure a polished, positive, and consistent candidate experience through high-touch communication and problem-solvingRecruitment Operations & CoordinationCoordinate and schedule interviews across multiple teams, managing calendars, logistics, and communications independentlyPartner with Recruiters, Hiring Managers, HR, and internal operations teams to align on hiring priorities, timelines, and onboarding readinessSupport high-volume recruiting and onboarding workflows while maintaining accuracy, compliance, and service-level expectationsMaintain accurate, real-time data in the applicant tracking system (ATS) and HR platforms, ensuring data integrity and audit readinessOnboarding, Process & Decision-MakingOwn onboarding coordination through Day 1, proactively identifying gaps, delays, or system issues and determining the best course of actionNavigate onboarding issues using sound judgment—balancing adherence to standard processes with best‑in‑class candidate solutionsMake independent decisions within defined guidelines to resolve onboarding challenges and support business needsIdentify trends and opportunities for process improvement and contribute to SOPs, documentation, and training materialsEnsure compliance with internal policies, employment regulations, and data privacy standardsPay rate: 24-25/hr. Skills and Requirements 2-5 years of experience in Talent Acquisition Operations, HR coordination, recruiting operations, or onboarding supportDemonstrated experience owning recruiting or onboarding processes with increasing independence and accountabilityProven ability to manage multiple priorities and make decisions in a fast‑paced, high‑volume environmentStrong candidate-facing communication skills with a high level of professionalismExperience with ATS or HRIS platforms such as Success Factors or similar HRIS systemsHighly organized and detail-oriented, with strong problem-solving and time‑management skillsAbility to work independently while collaborating effectively across cross‑functional teamsDemonstrated ability to handle sensitive and confidential information with discretion We are a company committed to creating diverse and inclusive environments where people can bring their full, authentic selves to work every day.
