Winkler Vascular Consulting is a new, independent vascular surgery practice opening in New Albany, Mississippi. We are seeking an experienced, highly organized Surgery Appointment Scheduler to help coordinate patient care and support the daily operations of the practice. This position will work closely with the vascular surgeon and serve as an important point of contact for patients, hospitals and other healthcare offices. The ideal candidate is dependable, detail-oriented and able to manage multiple schedules while providing clear, compassionate service to every patient. Position Summary The Surgery & Appointment Scheduler is responsible for coordinating office appointments, diagnostic testing, procedures, surgeries and follow-up care. This individual will guide patients through the scheduling process, communicate preparation instructions and help ensure that all necessary documentation and requirements are completed before scheduled services. Because this is a new practice, flexibility, initiative and a willingness to assist with other administrative responsibilities are essential. Key Responsibilities Schedule appointments, follow-up visits, diagnostic testing, vascular ultrasounds, procedures and surgeries. Coordinate surgical dates and requirements with the physician, patients, hospitals and other healthcare facilities. Serve as a liaison among patients, the surgeon, referring providers, hospital personnel and clinical staff. Provide patients with accurate appointment, procedure and surgery information. Communicate physician-approved preoperative instructions, arrival times and preparation requirements. Coordinate required preoperative testing, medical clearances and follow-up appointments. Verify and update patient demographics, contact information and insurance coverage. Obtain prior authorizations or precertifications for testing, procedures and surgeries when required. Confirm that necessary orders, records, test results and supporting documentation are received before scheduled services. Monitor the scheduling calendar and promptly communicate cancellations, changes or delays. Document scheduling activity and patient communication accurately in the electronic medical record. Help maintain an efficient flow of patients through the practice. Protect the confidentiality of patient and practice information. Assist with other administrative and front-office responsibilities as needed. Perform other related duties assigned by the physician or practice manager.
