Office Operations & AI Specialist Alpha Environmental is an agile, specialized consulting firm delivering high-quality expertise in geotechnical engineering, construction materials testing, and environmental services. As a tight-knit, small company, we pride ourselves on efficiency, precision, and strong client relationships. We are looking for an independent, forward-thinking professional to fill a brand-new role designed to manage our front office and lead our transition into AI-assisted workflows. Position Overview This is a dynamic, multi-faceted position combining office management, front-desk reception, and technical proposal writing. Acting as the central operational hub of our firm, you will manage day-to-day front-desk duties, handle primary client communications, and oversee incoming administrative needs. Simultaneously, you will learn the ins and outs of our engineering and environmental service lines to write, format, and finalize project proposals and technical reports. We are seeking someone comfortable and proactive with modern AI tools—specifically Anthropic's Claude—to lead the charge in creating seamless prompt workflows, automating draft generation, and streamlining our overall report pipeline.
Key Responsibilities Office Management & Front-Desk Operations Reception & Client Intake:
Serve as the first point of contact by answering multi-line phones, greeting visitors, routing client inquiries, and directing incoming leads to the appropriate technical staff.
Administrative Coordination:
Handle general office manager duties, including mail distribution, ordering supplies, managing vendor relationships, and maintaining office organization.
Intake & Proposal Research:
Act as the initial intake filter—listening to prospective client needs on incoming calls and retrieving historical project files or report templates to kickstart new proposals.
Project Tracking & Timelines:
Monitor, track, and log proposal statuses, project schedules, and client deliverables using internal tracking tools to ensure strict adherence to deadlines.
Technical Writing & AI Implementation Claude & AI Workflow Optimization:
Lead our adoption of AI technology—specifically utilizing Claude—to construct custom prompts, standard operating procedures, and automated templates that accelerate technical report generation.
Proposal & Report Generation:
Write, format, polish, and finalize accurate proposals, cost estimates, and technical reports across geotechnical engineering, materials testing, and environmental services.
Quality & Technical Review:
Review raw field data, lab results, and AI-generated drafts (ESAs, endangered species surveys, wetland delineations, etc.) to ensure strict formatting compliance, proper tone, and technical accuracy.
Qualifications & Experience Required:
2-5 years of professional experience in an office management, administrative/receptionist, or technical writing capacity. Demonstrated familiarity and comfort with AI tools (specifically Claude) for text drafting, editing, and workflow automation. Strong written and verbal communication skills, with a welcoming professional demeanor for client phone interactions. A meticulous eye for grammar, formatting, syntax, and consistent document presentation. Highly self-motivated with the ability to work independently, prioritize multi-step tasks, and manage office flow in a small-business environment.
Preferred:
Prior experience in the engineering, environmental, or construction consulting fields. Academic or professional background in Communications, Business Administration, Environmental Studies, or a related field.

Pay:
Salary is experience based, ranging from $23/hour to $30/hr.
