This position plays an important role in supporting the day-to-day administrative and operational needs of our manufacturing facility. The ideal candidate will be comfortable working across customer service, inventory management, purchasing, accounts payable, invoicing, reporting, and administrative support . We are looking for someone who takes ownership, communicates well, stays organized, and can successfully manage multiple priorities in a fast-paced manufacturing environment. Key Responsibilities Serve as a professional and welcoming point of contact for customers, vendors, employees, and visitors. Provide excellent customer service and respond to telephone and general administrative inquiries with professionalism and good judgment. Maintain accurate raw material inventory and monitor inventory levels to support uninterrupted production. Purchase raw materials and supplies as needed based on inventory requirements. Verify receipt of raw materials and ensure deliveries are accurately documented. Enter and maintain inventory, delivery, and related information in the SAP system . Process Certificates of Analysis ( COAs ), inventory transactions, and delivery information in SAP. Assist with invoicing, accounts payable, invoice processing, and payment-related administrative duties . Process and maintain new-hire documentation and assist with onboarding paperwork. Prepare and distribute weekly management reports related to production, inventory, and deliveries. Maintain organized records and documentation related to purchasing, inventory, invoices, deliveries, and administrative activities. Communicate with vendors and internal departments regarding orders, deliveries, invoices, and inventory needs. Provide general administrative support to management and the manufacturing operation. Assist with additional duties and special projects as needed. Qualifications Associate's degree in business administration, Accounting, Supply Chain, Office Administration, or a related field preferred . Previous experience in administrative support, inventory management, purchasing, accounts payable, customer service, or a related function preferred. Strong working knowledge of Microsoft Word, Excel, and Outlook . Experience with SAP or another ERP system preferred . Manufacturing or industrial environment experience is a plus but not required . Strong written and verbal communication skills. Professional phone etiquette and customer service skills. Excellent organizational and time-management abilities. Strong attention to detail and accuracy. Ability to manage multiple responsibilities and prioritize competing deadlines. Ability to work independently while also functioning effectively as part of a team. Strong problem-solving and follow-through skills.
