GED Full Job Description Overview:
The Operations Coordinator supports the day-to-day operations of Batten Trailer Leasing and BAMCo by coordinating trailer rentals, shop activities, customer needs, inventory, sales support, accounting support, and administrative tasks. This position reports directly to the Controller and works closely with the President on shop operations, trailer inventory, fleet readiness, sales activities, and other operational priorities. The position works with customers, drivers, shop personnel, sales, and management to help ensure trailers are properly documented, maintained, and ready for rent. The Operations Coordinator also supports the sales process by responding to rental inquiries, coordinating equipment availability, assisting with customer onboarding, and helping ensure a smooth transition from the initial customer request through rental and ongoing service.
Key Responsibilities:
Coordinate trailer check-ins and check-outs, including condition inspections, photos/videos, documentation, and system updates. Maintain accurate trailer inventory and help track trailer location, availability, condition, specifications, and repair needs. Work closely with the President to coordinate shop priorities, trailer readiness, inventory needs, repairs, preventative maintenance, and DOT inspections. Coordinate with the shop to prioritize customer repairs and trailers needed for upcoming rentals. Create, update, and invoice work orders and verify labor, parts, and repair information for accuracy. Assist with scheduling trailer deliveries, pickups, and other driver services. Support sales activities by responding to rental inquiries, communicating equipment availability, assisting with quotes and customer follow-up, and coordinating the operational side of new rentals. Onboard new customers and ensure required documentation is received, including insurance, rental agreements, and customer information. Respond to customer calls and rental inquiries and assist with coordinating equipment availability. Enter vendor invoices and reconcile vendor statements as needed. Assist with other basic accounting and administrative tasks under the direction of the Controller. Assist with parts and shop inventory, including entering new parts and monitoring inventory levels. Follow up with customers regarding maintenance, DOT inspections, documentation, and other operational needs. Maintain accurate records in Dynamics 365 Business Central/RPM and other company systems. Assist with trailer quality-control inspections and identify maintenance or repair concerns. Complete accounting, operational, reporting, and process-improvement projects as assigned by the Controller or President. Perform other administrative and operational duties as needed.
Compensation:
Salary Range:
$60,000-$80,000 annually, depending on experience and qualifications.
Qualifications:
High school diploma or equivalent (GED) required. Strong organizational skills and attention to detail. Ability to manage multiple priorities and communicate effectively with customers and employees. Comfortable working in both an office and shop/yard environment. Basic computer and data-entry skills; experience with Microsoft Office and business management software is preferred. Basic understanding of accounting or bookkeeping is preferred but not required. Ability to work independently while coordinating closely with multiple departments. Willingness and ability to take ownership of assigned projects and see them through to completion. Previous experience in transportation, equipment rental, fleet operations, repair/service, accounting, or a related industry.
Pay:
$60,000.00 - $80,000.00 per year
