Responsibilities In this role, you will be an integral part of the Operations team, keeping the day-to-day work of investment management, financial planning, and tax preparation running smoothly for clients. You will contribute to a positive, collaborative work environment, take initiative to improve processes, and exercise sound judgment and confidentiality across all of your responsibilities. You'll also support broader firm operations, including receiving incoming calls, managing office supplies and mail, and arranging coverage when out of the office. You will manage incoming client documentation across email, Advyzon, Client Downloads, ShareFile, DocuSign, fax, and paper, filing everything according to the firm's naming and filing conventions and assigning follow-up tasks to advisors as needed. Day to day, you'll monitor workflow items and Teams alerts in Fidelity Wealthscape, process custodian paperwork, move tasks forward through Advyzon, document actions taken, and help clients with technology and portal login support. You'll also serve as backup support for account onboarding, ACATs, and trading/rebalancing tasks alongside the Operations Intern, staying cross-trained to ensure continuity of coverage. You will help coordinate client meetings, confirming annual meetings are correctly scheduled through Calendly across advisor calendars and conference rooms in Bedford, Nashua, and Peterborough, preparing meeting spaces, greeting clients and prospects, and scanning documents as requested. You'll also support quarterly report and newsletter mailings, and handle all client information in accordance with the firm's privacy and data security policies, safeguarding physical and electronic records and reporting any suspected data security incidents right away. Qualifications High school diploma required; associate or bachelor's degree, or equivalent professional experience, preferred. Prior experience in a client service, administrative, or office support role is preferred, ideally within financial services or another regulated industry. Strong organizational skills and attention to detail are essential, along with the ability to manage multiple recurring tasks and deadlines, follow established processes accurately with minimal supervision once trained, and communicate clearly and professionally with a client-service orientation. Comfort working across multiple office locations and coordinating logistics for in-person client meetings is a plus. Monday-Friday 8:30 AM-5:00 PM, with occasional flexibility for meeting coverage
