Job Description

RE/MAX Preferred - South Jersey Full-Time | In Office | $40,000-$50,000 per year, based on experience RE/MAX Preferred is an established, multi-office real estate brokerage serving South Jersey. We are looking for an organized, dependable, and technology-comfortable Real Estate Operations Coordinator to become an important part of our company. This is not a traditional receptionist or basic administrative assistant position . We are looking for someone with previous real estate industry experience who understands the pace, terminology, documentation, and attention to detail required in a real estate environment. The right person will work closely with management and our agents, helping with transactions, contracts, agent onboarding, technology, office operations, and company projects. We want someone who takes ownership of responsibilities, follows through, solves problems, and looks for ways to make the company operate more efficiently. Responsibilities Assist agents and management with real estate contracts, paperwork, and transaction-related needs Help monitor transaction documents, deadlines, and outstanding items Assist with onboarding new agents, including paperwork, company systems, technology, and office procedures Learn and support company technology platforms and help agents with basic system and software questions Greet and assist clients, agents, vendors, and visitors in a professional manner Answer and direct incoming calls and assist with general office communication Provide administrative and operational support directly to company ownership and management Coordinate meetings, training programs, company events, and agent activities Maintain accurate electronic records, files, and company databases Communicate and follow up with agents, clients, title companies, lenders, attorneys, vendors, and other parties Assist with company projects involving multiple office locations Help improve office systems, procedures, organization, and workflow Assist with basic bookkeeping, invoices, and administrative financial records when needed Take responsibility for assignments and follow them through from beginning to completion Assist agents and management with additional operational needs as they arise Qualifications Previous professional experience in the real estate industry is required. Candidates with experience in a real estate brokerage, transaction coordination role, or real estate team environment are strongly preferred . We will also consider candidates with relevant experience in: Title companies Mortgage or lending companies Property management Real estate law offices Other real estate-related transaction or operations positions The ideal candidate will be: Highly organized and detail-oriented Dependable and accountable Professional and personable Comfortable working with agents, clients, and management Strong with follow-up and deadlines Comfortable managing multiple priorities Confident using computers and learning new technology Able to work independently while also being part of a team A strong communicator by phone, email, and in person Proactive and willing to take initiative Someone who identifies problems and helps find solutions Experience with MLS systems, electronic signatures, transaction-management software, CRM platforms, Microsoft Office, Google Workspace, and other real estate technology is a plus.
