Duties Responsibility:
Coordinate scheduling communication, customer follow-ups, technician access, and outstanding work. Monitor and respond to the scheduling email inbox on weekdays. Call customers about recommended follow-up services; create follow-up orders and send them to scheduling Assist with confirmations, routine appointment changes, and scheduling inquiries. Handle technician access issues by contacting customers and relaying instructions. Handle general Spanish-speaking customer calls and related service communication. Print log sheets for customer logbooks. Send end-of-day messages during scheduled hours to technicians about incomplete work; collect responses and document items requiring rescheduling. On Saturdays, PRIMARY duty is to cover ALL incoming office phones and email inboxes during customer hours (8:00a.m.-2:00 p.m.), including general & scheduling On Saturdays, handle routine technician/customer issues and approved schedule changes; after 2:00 p.m., complete emails, follow-ups, and Monday-preparation work. Preferred qualifications Previous experience in scheduling, dispatch, customer service, or office administration. Experience scheduling or dispatching field service technicians, particularly in pest control, HVAC, plumbing, or a similar service business. Bilingual in English and Spanish, with the ability to assist Spanish-speaking customers over the phone. Experience with PestPac or another field-service management platform. Familiarity with coordinating technician routes, appointment windows, follow-up visits, and incomplete service orders. Experience managing shared email inboxes and responding to customer inquiries promptly. Ability to identify scheduling conflicts and recommend solutions without losing track of outstanding requests. Strong organizational skills and the ability to manage multiple requests, changing schedules, and competing priorities. Excellent phone etiquette and professional written communication. Ability to communicate clearly with customers, field technicians, and other office staff. Strong attention to detail when entering customer information, updating appointments, and documenting service requests. Comfortable using computers, email, scheduling software, and customer management systems. Ability to remain calm and find practical solutions when appointments change or unexpected service issues arise. Dependable attendance and the ability to work the required Saturday shift, 7:30 a.m.-4:00 p.m. Ability to work independently while following established procedures and knowing when to escalate an issue to department lead or management.
