Job Description

Scheduling Specialist Comfort Keepers of Santa Fe Comfort Keepers of Santa Fe is looking for an experienced Scheduling Specialist to join our team. This is an important office-based role focused on coordinating caregiver schedules, supporting our clients and caregivers and helping ensure dependable service throughout the week. We are looking for someone who enjoys bringing organization to moving pieces, communicates well with different personalities and can confidently work through scheduling changes as they arise. The right person will be dependable, detail-oriented and comfortable taking ownership of the scheduling process. What You'll Do Coordinate caregiver schedules based on client needs, caregiver availability, qualifications and preferences Work to maintain consistent caregiver assignments while minimizing open shifts, overtime and cancellations Communicate assignments, schedule changes and important updates to caregivers and clients Respond to callouts, cancellations and other same-day scheduling changes promptly Maintain accurate caregiver availability, scheduling details and documentation within company systems Document scheduling communications and follow-up as appropriate Stay connected with caregivers to keep availability and scheduling information current Help identify and resolve scheduling concerns before they impact client service Address caregiver and client questions professionally and help resolve concerns Reinforce established company policies and procedures with caregivers when needed Maintain positive working relationships with caregivers, clients and fellow team members Manage phone and electronic communications in an organized and timely manner Support caregiver interviewing and onboarding when needed Participate in the on-call rotation as assigned Assist with other related responsibilities as needed What We're Looking For High school diploma or equivalent required Previous staffing, scheduling or management experience Experience coordinating schedules in home care, healthcare or another service-based environment strongly preferred Proficiency with Microsoft Office Comfortable learning and working within scheduling and other business software Strong organizational skills and attention to detail Ability to manage multiple priorities and changing schedules Strong written and verbal communication skills Professional and patient approach when working with clients and caregivers Ability to remain composed when handling time-sensitive scheduling needs Strong problem-solving and follow-through skills Ability to maintain confidentiality and comply with HIPAA requirements

$42,000-$52,000 per year
