This role is ideal for someone who enjoys creating order, maintaining accurate documentation, and following through on deadlines. You will work with leadership to coordinate operational tasks, organize compliance materials, and identify issues that need attention. Key Responsibilities Maintain organized electronic files, administrative records, policies, and supporting documentation. Track compliance deadlines, renewals, required submissions, and follow-up tasks. Coordinate the collection and review of documents for completeness and accuracy. Support audit and review preparation by gathering records and tracking outstanding items. Keep spreadsheets, checklists, calendars, and compliance tracking systems current. Assist with onboarding documentation and track required training completion. Help document and update standard operating procedures in coordination with leadership. Coordinate meetings, prepare notes, and follow up on assigned action items. Identify missing information, approaching deadlines, and process gaps, and bring them to leadership's attention. Handle confidential and sensitive information with care and discretion. Use AI programs to improve systems and establish uses of AI programs to improve operations and compliance tracking. Qualifications Experience in administrative coordination, operations support, records management, or compliance support. Strong organizational skills and the ability to manage multiple priorities within a part-time schedule. Attention to detail and a consistent approach to documentation and follow-through. Clear, professional written and verbal communication. Proficiency with spreadsheets and electronic document management systems. Ability to learn and use compliance tracking, audit management, and governance, risk, and compliance software. Sound judgment, discretion, and comfort working both independently and collaboratively. Preferred Experience Experience supporting leadership roles. Familiarity with audit preparation, policy management, or compliance reporting. Experience improving administrative processes and maintaining deadline tracking systems. Basic knowledge of AI programs and uses.
