About Atlas Surgery Center Atlas Surgery Center is a state-of-the-art ambulatory surgery center providing specialized surgical care for patients with neurologic, endovascular, pain management, and Gamma Knife radiosurgery needs. Position Summary Atlas Surgery Center is seeking a highly organized, detail-oriented Surgical Scheduler to join our team. This position plays an important role in coordinating surgical cases and ensuring procedures are scheduled accurately, efficiently, and with the appropriate resources in place. The Surgical Scheduler serves as a central point of communication between physician offices, surgeons, anesthesia providers, nursing, radiology, vendors, and other departments. The ideal candidate is comfortable working in a fast-paced healthcare environment, managing frequent schedule changes, and balancing multiple competing priorities while maintaining accuracy and responsive customer service. Key Responsibilities Key responsibilities include but are not limited to: Schedule outpatient neurosurgical, endovascular, and interventional radiology procedures based on surgeon availability, block time, facility resources, and established scheduling processes. Coordinate surgical dates and case details with surgeons, physician office staff, anesthesia providers, nursing, radiology, and other departments. Enter and maintain complete and accurate case information within the electronic medical record and scheduling systems. Review procedure information for accuracy, including procedure names, CPT and diagnosis codes, surgeon, laterality, implants, equipment, imaging requirements, and estimated procedure times. Maintain accurate daily and future surgical schedules. Coordinate case additions, cancellations, reschedules, and other schedule changes and promptly communicate updates to affected departments and physician offices. Schedule cases in alignment with surgeon block time and facility availability while helping minimize conflicts and unused operating room time. Serve as a primary point of contact for physician offices regarding scheduling questions, requirements, and case status. Identify and communicate special procedural or patient needs, including implants, imaging, neuromonitoring, navigation/O-arm, specialty equipment, mobility assistance, interpreter services, and post-operative needs. Coordinate vendor availability or attendance when required for scheduled procedures. Document scheduling communications, changes, and follow-up accurately and timely. Identify missing information, scheduling conflicts, or resource needs that could affect surgical flow and escalate concerns appropriately. Assist with scheduling reports, data collection, workflow improvement, and other administrative projects as needed. Maintain patient and organizational confidentiality in accordance with HIPAA requirements and facility policies. Required Qualifications High school diploma or GED. Working knowledge of medical terminology and the ability to accurately interpret surgical scheduling information. Strong computer skills, including proficiency with Microsoft Office and the ability to learn and effectively use electronic medical record and scheduling systems. Excellent organizational and time-management skills. Strong attention to detail and commitment to accurate data entry and documentation. Strong written and verbal communication skills. Ability to manage multiple priorities and frequent schedule changes in a fast-paced environment. Ability to work independently while collaborating effectively with a multidisciplinary team. Professional and responsive customer-service skills. Preferred Qualifications 1-2 years of surgical scheduling experience. Experience working in an ambulatory surgery center, hospital, physician practice, or other procedural/surgical setting. Experience scheduling neurosurgical, vascular, endovascular, orthopedic, or spine procedures. Familiarity with anesthesia scheduling and operating room workflow. Knowledge of CPT and ICD-10 coding as it relates to surgical scheduling. Familiarity with surgical implants, specialized equipment, and vendor coordination. Associate degree in healthcare administration or a related field. Medical terminology coursework.
