As our publishing activities continue to grow, we are seeking a dependable, organized, and detail-oriented Operations Coordinator to support day-to-day administrative, publishing, and operational activities. Position Overview The Operations Coordinator plays an important role in keeping daily operations organized, efficient, and on schedule. This position supports the coordination of publishing workflows, internal documentation, correspondence, scheduling, record management, and communication between authors, editors, reviewers, and internal team members. The successful candidate will be highly organized, comfortable managing multiple priorities, and capable of maintaining accurate records while supporting a professional academic publishing environment. Key Responsibilities Coordinate daily administrative and operational activities related to academic publishing and journal operations Support the organization and tracking of manuscripts, publication projects, and internal assignments Maintain accurate records, spreadsheets, databases, electronic files, and operational documentation Monitor project status, deadlines, and outstanding tasks to help keep publishing activities on schedule Assist with communication and correspondence involving authors, editors, reviewers, and other publishing partners Route inquiries, documents, and requests to the appropriate team members Prepare and organize reports, correspondence, forms, schedules, and other business documents Assist with coordinating meetings, deadlines, calendars, and project-related activities Track incoming documentation and follow up on missing or incomplete information when appropriate Support administrative steps associated with manuscript processing and publication workflows Help ensure information is entered accurately into internal systems and records Review documents and records for completeness, consistency, and basic accuracy Coordinate information between editorial, administrative, production, and management functions Assist with maintaining organized digital records and document archives Respond professionally to routine inquiries and provide appropriate operational support Identify workflow delays, documentation issues, or discrepancies and communicate them to the appropriate team member Help improve organization and efficiency of routine administrative processes Handle business and publication-related information with professionalism and discretion Support special projects and changing operational priorities as needed Perform additional administrative and coordination duties as assigned Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred Previous experience in operations, administration, publishing, project coordination, office support, customer service, or a related field is preferred Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to manage multiple assignments, priorities, and deadlines Strong record-keeping and documentation skills Comfortable working with email, spreadsheets, word-processing software, databases, and other common business applications Ability to learn new systems, processes, and publishing procedures Strong follow-through and ability to maintain accurate information Ability to work independently while collaborating effectively with team members Professional approach to communication with authors, researchers, editors, and external contacts Good problem-solving skills and willingness to take initiative Experience in academic publishing, scientific organizations, editorial operations, or professional services is helpful but not required What We Offer Competitive compensation Professional and collaborative work environment Training and support for company processes and publishing workflows Opportunity to develop experience in academic and scientific publishing Exposure to multiple areas of publishing operations and project coordination Opportunities for professional growth and additional responsibilities Meaningful work supporting the publication and communication of scientific research Why Join Natural Sciences Publishing?
