Job Description

We are a busy construction company seeking an organized, dependable, and proactive Office Administrator to support our office and field operations. This position plays an important role in keeping our daily operations running smoothly. The successful candidate will work closely with our CFO, project managers, supervisors, and field employees. Key Responsibilities Collect and review employee hours and payroll information. Assist with payroll preparation and resolve missing or incorrect time records. Communicate daily with project managers, supervisors, and field employees. Schedule material pickups, deliveries, and jobsite drop-offs. Coordinate daily schedules for company vans and drivers. Arrange larger material deliveries with vendors and project teams. Track delivery dates and follow up on delayed or missing materials. Maintain employee safety records, including OSHA cards and required certifications. Follow up with employees regarding outstanding safety paperwork and documentation. Keep employee, project, and operational records organized and up to date. Work under the direction of the CFO to collect payroll, project, cost, and administrative information as needed. Assist with general office administration and other day-to-day operational needs. Qualifications Previous office administration or coordination experience. Strong organizational and communication skills. Ability to manage several priorities in a fast-paced environment. Comfortable communicating with field personnel, vendors, and management. Good attention to detail and consistent follow-through. Experience with payroll, employee timekeeping, or construction administration is preferred. Basic knowledge of Microsoft Excel, Word, Outlook, and general office software. Ability to work independently while also being part of a team. Bilingual English and Spanish would be helpful but is not required. Ideal Candidate The ideal candidate is someone who takes ownership of their responsibilities, communicates clearly, and stays ahead of issues. This person should be comfortable handling changing schedules, following up with multiple people, and making sure the office and field teams have the information and materials they need.
