$45,000-$60,000 per year (based on experience) About Us N Financial Plans is a rapidly growing fee-only financial planning, tax, bookkeeping, and fractional CFO firm located in Huntington, NY. We're looking for someone who genuinely enjoys organization, paperwork, and making sure nothing falls through the cracks. If you're the type of person who color-codes your calendar, likes checking things off a to-do list, and gets satisfaction from turning chaos into order, you'll probably love this position. This role is perfect for someone looking to build a long-term career. As our firm continues to grow, there will be opportunities to take on more responsibility, learn bookkeeping and accounting, become QuickBooks Online Certified, and grow into operations or accounting roles over time. What You'll Do You'll help keep the business running smoothly by handling the administrative work that allows our advisors and accountants to focus on serving clients.
Responsibilities include:
Preparing new client onboarding paperwork Following up with clients for signatures and missing documents Managing calendars and scheduling appointments Organizing electronic and physical client files Completing custodian paperwork with firms such as Charles Schwab Calling the IRS, state tax agencies, financial institutions, and other organizations on behalf of the firm and waiting on hold when necessary Tracking paperwork through completion and following up until issues are resolved Assisting with compliance documentation, manuals, and regulatory paperwork Preparing letters, forms, spreadsheets, and other documents using Microsoft Word and Excel Helping improve office organization and internal workflows Assisting with other projects as the firm continues to grow QualificationsRequired Strong organizational skills Excellent attention to detail Comfortable using Microsoft Word, Excel, Outlook, and Adobe Acrobat Strong written and verbal communication skills Ability to manage multiple projects at once Ability to work independently and solve problems Positive attitude and willingness to learn Comfortable making professional phone calls Preferred Experience in hospitality, restaurants, retail management, banking, customer service, or another fast-paced environment Experience in an office or administrative role Experience working with confidential information Experience with CRM software or document management systems No accounting experience is required.
