Job Description
Clearwave Mental Health is seeking an experienced, hands-on leader to serve as our Associate Director of Clinical Operations. As Clearwave continues to grow across New York, this role will be responsible for helping ensure that clinical services, workflows, training, and standards are executed consistently across our 10+ locations. With a focus on TMS, Spravato/esketamine, measurement-based care, clinical workflow compliance, and staff training, the Associate Director of Clinical Operations will play a key role in building the structure needed to support Clearwave's continued growth. This position requires someone with both hands-on clinical or patient-care experience and strong healthcare operations experience. The successful candidate must have the clinical knowledge and credibility to work effectively with providers, technicians, and clinical teams, while also having the operational ability to standardize workflows, develop teams, identify gaps, and drive accountability across multiple locations. The Associate Director of Clinical Operations will manage training specialists, regional trainers, and other clinical operations team members who support Clearwave locations across different regions. This is a highly hands-on role that requires regular travel to sites to train teams, observe and audit workflows, support new initiatives, and help ensure consistent clinical operations. The ideal candidate is organized, direct, and solutions-oriented, with the ability to quickly identify where workflows are breaking down and create practical structure in a fast-paced, multi-site healthcare environment. Who We're Looking For This role is particularly well suited for someone who began their career in a hands-on clinical or patient-care role and has since taken on increasing responsibility in leadership, training, clinical operations, or healthcare administration. Candidates may come from backgrounds such as: LPN or RN Medical Assistant Behavioral Health or Clinical Support Another hands-on clinical or patient-care role within a healthcare setting You should be comfortable working directly with providers and clinical teams while also managing people, improving processes, standardizing workflows, and holding teams accountable for execution. Key Responsibilities Clinical Workflow Standardization Oversee clinical operations workflows across all Clearwave service lines, with an emphasis on interventional treatments such as TMS and Spravato/esketamine. Standardize clinical workflows across locations, including documentation expectations, patient safety procedures, and clinical escalation pathways. Develop, implement, and maintain SOPs, training materials, checklists, and audit tools for clinical service lines. Partner with the Chief Medical Officer and clinical leadership to ensure workflows align with Clearwave's clinical standards. Support new site and new service-line launches from a clinical operations standpoint. Identify workflow gaps and partner with appropriate teams to develop and implement practical solutions. Team Leadership and Regional Support Hire, onboard, train, and manage training specialists, regional trainers, and other clinical operations team members. Conduct regular 1:1 meetings with staff to provide support, coaching, and ongoing feedback. Provide timely, constructive feedback regarding performance, professional development, and areas for improvement. Set clear expectations and hold team members accountable for execution and follow-through. Ensure clinical operations support is appropriately staffed across regions and locations. Travel regularly to Clearwave sites to train staff, observe workflows, support teams, and audit execution. Provide hands-on coaching and support to site teams when workflows are not being followed consistently. Help build and strengthen a scalable regional clinical operations support model as Clearwave continues to grow. Training and Competency Support clinical onboarding and competency training for providers, technicians, and other clinical operations team members. Ensure staff are trained on clinical workflows, patient safety expectations, documentation requirements, and escalation procedures. Coordinate refresher trainings when workflows change or audit findings identify gaps. Work with technician trainers and clinical leadership to ensure consistent training standards across all locations. Support the development and implementation of training programs as new clinical services and workflows are introduced. Quality, Audits, and Compliance Lead Quality Improvement Team initiatives, including facilitating biweekly meetings and driving continuous improvement across Clearwave locations. Conduct and manage site audits and identify gaps in clinical workflow execution. Develop action plans to address identified gaps and follow up to ensure improvements are implemented. Monitor adherence to PHQ-9, GAD-7, and other measurement-based care workflows. Review documentation and workflow compliance for TMS, Spravato/esketamine, and related clinical services. Escalate clinical safety, workflow, documentation, or staffing concerns appropriately, including through the Quality Improvement Team. Partner with appropriate managers and providers to resolve issues and improve execution. Minimum Qualifications Bachelor's degree required. Hands-on clinical or patient-care experience in a healthcare setting. Experience in healthcare operations, clinical operations, behavioral health, psychiatry, nursing operations, or a related healthcare setting. Strong leadership and people-management skills. Experience training staff and standardizing workflows across teams or locations. Ability to travel regularly across Clearwave locations in New York. Strong communication, organization, and follow-through. Comfort working in a fast-growing, multi-site healthcare environment. Ability to identify problems, create action plans, and hold teams accountable. Ability to build trust and credibility with providers, technicians, clinical staff, and operational leaders. Preferred Qualifications LPN, RN, or similar clinical credentials and/or Master's degree in Healthcare Administration strongly preferred. Experience with TMS, Spravato/esketamine, ketamine, psychiatry, or behavioral health. Experience with REMS programs, medication administration workflows, clinical documentation, or measurement-based care. Experience managing trainers, coordinators, or multi-site support teams. Experience in a multi-site outpatient healthcare organization.
