Job Description

Hiring:
Office & Operations Coordinator Pay:
$25-$27/hour
Schedule:
Full-time, approximately 40 hours/week The goal of this position is to take ownership of the day-to-day coordination between the office, customers, sales team, technicians, and management. Main Responsibilities Answer and return customer calls, texts, and emails Schedule estimates and sold jobs Confirm upcoming appointments Coordinate technician schedules and job assignments Keep Jobber updated and organized Collect required deposits before scheduling Make sure completed jobs are invoiced the same day Follow up on unpaid invoices Follow up on unsold estimates and open leads Refill cancellations and schedule gaps Communicate schedule changes with customers and technicians Make sure crews have complete job notes, photos, addresses, and instructions Handle basic customer service problems before escalating them Coordinate callbacks, touch-ups, and warranty scheduling Request reviews after completed jobs Track scheduled and completed revenue Help management keep daily operations organized Ideal Candidate We want someone who is: Extremely dependable Organized and detail-oriented Strong with customers Comfortable handling multiple priorities Able to solve problems without constant direction Comfortable with computers and CRM systems Experienced in scheduling, dispatching, customer service, office management, or operations Experience with Jobber or a similar CRM is preferred. What Success Looks Like This person should eventually be able to make sure: Tomorrow's schedule is confirmed Technicians know exactly where they are going Deposits are collected Jobs are invoiced Open estimates are followed up Cancellations are worked immediately Past-due balances are contacted Routine operational issues are handled without Jeremy needing to get involved We are looking for someone who sees a problem and handles it , not someone who waits to be told every next step.
Pay:
$25.00 - $27.00 per hour Expected hours: 30.0 - 40.0 per week
