Beachwood, OH 44122 $1,000 SIGN-ON & RETENTION BONUS Position Summary Diamonds & Pearls Health Services is seeking an experienced, dependable, and highly organized Scheduling & Field Support Coordinator to support our Home Health and DODD Waiver divisions. We are looking for a strong, experienced scheduler who can manage a busy schedule, handle call-offs, fill open shifts quickly, communicate effectively with staff, and take ownership of staffing needs from beginning to resolution. This is a dual office and field position. The Scheduling & Field Support Coordinator will manage day-to-day scheduling responsibilities from the office and will also be expected to go into the field and provide direct care when staffing needs arise. The ideal candidate must be flexible, solution-oriented, dependable, and willing to step in when necessary to help ensure clients receive uninterrupted services. Field coverage is an essential function of this position. Candidates must be willing and able to provide direct care when assigned. $1,000 Sign-On & Retention Bonus The selected employee will be eligible for a $1,000 Sign-On & Retention Bonus , paid in four $250 installments every three months . Each installment is contingent upon the employee remaining actively employed and meeting agency attendance, performance, compliance, and employment requirements at the time the installment becomes due. Essential Duties & Responsibilities Coordinate and manage daily, weekly, and long-term schedules for Home Health and DODD Waiver services. Maintain appropriate staffing coverage for assigned clients and participants. Respond promptly to employee call-offs, vacations, emergencies, and unexpected staffing shortages. Actively contact available employees and work to fill open shifts as quickly as possible. Take ownership of staffing concerns and follow through until an appropriate resolution is reached. Identify potential staffing problems before they result in missed or uncovered services. Communicate scheduling changes promptly and professionally to employees, supervisors, clients, participants, families, and other appropriate team members. Float into the field and provide direct care when staffing coverage is needed. Assist clients and participants with activities of daily living and other authorized services when providing field coverage. Provide transportation and community support when required by the assignment. Send timely communication notes and participant updates to Case Managers, Service and Support Administrators (SSAs), and other interdisciplinary team members as appropriate. Monitor authorizations and approved service hours to ensure schedules align with authorized services. Verify employee credentials, certifications, required training, and compliance before assigning shifts. Ensure employees are appropriately trained for their assigned client or participant. Assist with orientation scheduling and new employee assignments. Assist with establishing permanent schedules for newly hired employees. Monitor overtime, staffing utilization, open shifts, missed visits, cancellations, and other scheduling concerns. Participate in rotating on-call responsibilities. Assist with after-hours staffing needs as assigned. Respond to urgent staffing needs, including evenings, weekends, and holidays when necessary. Maintain accurate scheduling information and documentation in Alora and other agency systems. Answer phones and assist employees, clients, participants, and families professionally. Work collaboratively with Operations, Nursing, Compliance, Human Resources, House Managers, and other members of the leadership team. Maintain confidentiality and follow HIPAA requirements. Follow agency policies, participant plans, physician orders, Home Health requirements, DODD requirements, and other applicable regulations. Perform other duties as assigned. Minimum Qualifications High School Diploma or GED required. 75-hour Home Health Aide (HHA) Certificate required; STNA or CNA accepted. Minimum of 3 years of schedule management experience required. Healthcare scheduling experience strongly preferred. Home Health and/or DODD Waiver scheduling experience strongly preferred. DODD Direct Support Professional experience preferred. Experience using EMR and scheduling software. Alora experience preferred. Proficiency in Microsoft Office 365, including Outlook, Excel, and Word. Typing speed of at least 35 words per minute. CPR and First Aid Certification or ability to obtain upon hire. Valid Ohio driver's license. Reliable transportation and current automobile insurance. Ability to pass all required background checks and maintain agency employment requirements. Must be willing and able to provide direct care in client and participant homes. Must be willing to travel to client homes and other service locations as needed. Knowledge, Skills & Abilities The successful candidate must be a strong scheduler and problem-solver who understands that scheduling is more than placing names on a schedule. This position requires someone who can recognize staffing problems, act quickly, communicate effectively, and follow through until coverage is secured.

Flexibility and willingness to assist wherever needed to maintain safe and uninterrupted services. Field & Physical Requirements Ability to sit, stand, bend, walk, and lift up to 50 pounds. Ability to assist clients and participants with activities of daily living. Ability to provide hands-on direct care within the employee's training and qualifications. Ability to travel between the agency office, participant homes, hospitals, and community locations. Ability to safely transport participants when required and authorized. Ability to transition from office scheduling responsibilities to field coverage when staffing needs arise. Schedule Full-Time Monday-Friday Office hours may vary based on agency needs. Rotating on-call responsibilities. Evening, weekend, and holiday availability as needed. Flexibility to respond to staffing emergencies. Field coverage is a required responsibility of this position. Preferred Qualifications HHA, STNA, or CNA certification. Experience scheduling both Home Health and DODD Waiver services. Previous supervisory, staffing, or care coordination experience. Experience with Alora or comparable EMR/scheduling software. Knowledge of Medicaid Waiver services and compliance requirements. DODD Direct Support Professional experience.
